Nasdaq is looking for an enthusiastic professional with prior experience in marketing and/or events, preferably within a similar organization such as a professional services or financial services firm. In this role, reporting into the Event Manager, Listings, you will help coordinate events and marketing efforts associated with hosted, sponsored, and experiential events aimed at our key target audiences. Additionally, you will provide essential support to the Senior Vice President of Southern US and LATAM Listings, assisting with scheduling, client engagement, meeting preparation, and various administrative tasks. The Event Marketing Specialist, Listings position is heavily focused on coordinating logistics and acting as a project manager to lead, oversee and execute a project plan to ensure overall success of the event. You will work with the Event Manager, Listings, Regional Account Managers, the Events teams, and other teams across the Listings business globally to help plan and deliver key marketing initiatives, often acting as the project manager to keep stakeholders on track. You will be a key member of the team, improving our presence, assisting with hosted and sponsored events, strengthening the Nasdaq brand, and generating demonstrable ROI. The events you will support in this role are intended to generate meaningful connections with high-level management of existing customers, to repair relationships and to foster new relationships with prospective customers, and to consistently promote Nasdaq's products and brand enterprise wide. In addition, the events you will manage are intended to serve as a platform for Nasdaq to act as thought leaders by contributing to the regional and global conversation. This position will be based in Texas and travel throughout the state and region is required (30%). Job Responsibilities and Requirements
- Support a selection of hosted regional events globally - large and small scale, including space reservations, coordination with local executive assistants, catering orders, marketing material production/distribution, name badges, AV management, attendee lists/invite process, building security, etc.
- Assist with venue sourcing including generating RFPs, organizing data and presenting findings to stakeholders
- Assist Events Team with deliverables, including but not limited to the development of event invitations, resends, reminders, pre- and post-event communications, gifting and nametags for all events
- Act as on-site support, when requested, for designated meetings and events to ensure successful meeting execution, including but not limited to general event set up, badges, BEOs, materials, etc.
- Assist with ROI tracking following each event and update tracking accordingly
- Budget management at all steps of the event, starting at the conceptualization process
- Strict adherence to meeting protocols (cost saving measures, risk policies, contract approvals)
- Ongoing ownership of team resources including restaurant lists, area information, furniture inventory, swag/high-end gifting vendors, etc.
- Reconciles with accounting all payments related aspects for these events, purchase order management and tracking budget
Additional Responsibilities: In addition to the core responsibilities outlined above, the Event Marketing Specialist will also provide support to the Senior Vice President of Southern US and LATAM Listings. This includes:
- Client Engagement: Help prepare for client meetings by organizing materials, drafting agendas, and ensuring follow-up actions are tracked and completed.
- Meeting Preparation: Coordinate logistics for internal and external meetings, including booking meeting rooms, arranging AV equipment, and preparing necessary documents.
- Administrative Tasks: Handle various administrative duties such as expense reporting, travel arrangements, and other tasks as needed to support the SVP's daily activities.
- Scheduling and Calendar Management: Assist with scheduling meetings, appointments, and managing the SVP's calendar to ensure efficient time management.
Additional Job Description Requirements
- 5+ years of event and marketing experience
- A keen interest in developing a career in marketing and events
- Well-presented with a professional approach
- Exceptional verbal and communication skills and ability to interact with c-level executives both internally and externally
- Flexible and a hardworking team player; ability to flex and step in as needed
- Strong interpersonal skills and ability to multitask and lead multiple projects simultaneously
- Proficiency in CRM systems; preferably in Salesforce, Knak and Marketo
- Experience with marketing automation tools
- Bachelor's Degree required, preferably in marketing, communications or hospitality
- Ability to work evenings and weekends as needed for events with extensive travel throughout Texas and the region (30%)

The base pay range for this role is $56,200 - $93,600.
