PRINCIPAL FUNCTION: In the midst of Jewish Dallas's vibrant growth, the Jewish Federation of Greater Dallas aims to take on an innovative and bold role. Our team is seeking an adaptable, detail-oriented, and proactive Event Project Manager to join our mission.

In this role, you'll collaborate with a dedicated team of Federation professionals to amplify the organization's impact locally in Dallas, as well as globally in Israel and beyond. Working closely with our valued donors and volunteers, you'll champion high scale events driven by the principles of collective impact.

The Event Project Manager will have broad logistical oversight in the coordination of all major events of the Jewish Federation of Greater Dallas. Event planning will range across Federation departments, including but not limited to major events for Campaign and other marquee events by the Advancement and the Impact Divisions.

REPORTS TO: Director of Events

SUPERVISES: N/A

ESSENTIAL JOB FUNCTIONS:

  • Successfully drives major Federation projects/events from initiation to completion in collaboration with the lead staff for major events: coordinates venue, catering, menu selection, entertainment, theme, event supplier relations, A/V needs, decorations, all contracts, creates roles and responsibilities in collaboration with the Director of Events and other event logistics as needed.
  • Assists in creating and modifying an “All Federation” events calendar.
  • Manage all event mechanics which includes managing events in Virtuous, Classy and any other ticketing software that we use. Manages the registration for all events.
  • Manage Events mailbox and responds accordingly
  • Lead internal Federation team through the stages of a project using Asana or other project management software.
  • Assist the Director of Events with vendor interactions, bidding, contracts, payments, event-day communication, and post-event follow-up.
  • Builds and fosters collaborative relationships with other Federation departments to stay informed and abreast of new initiatives and services.
  • Interacts independently, positively, and proactively with vendors, volunteers, committee members and Federation employees.
  • Takes direction from the Director of Events and responds in a timely fashion to requests.
  • Performs other duties as assigned.
  • MINIMUM QUALIFICATIONS:

    Education: Bachelor's degree required.

    Experience: 3-5 years project management experience.

    Other Requirements:

    • Excellent communication skills both verbally, written, and proofreading.
    • Computer proficiency in Windows environment.
    • Computer proficiency in Virtuous and Classy preferable
    • Computer proficiency in Asana or other project management software
    • Strong organizational skills with the ability to prioritize and work on multiple projects simultaneously while maintaining quality of work.
    • Demonstrated ability to think strategically, plan and manage projects with minimal supervision.
    • Strong attention to detail.
    • Demonstrated ability to work cooperatively inside and outside the department utilizing tact, diplomacy and a professional manner.
    • Ability to set and meet deadlines in a fast-paced environment.
    • Ability to multi-task and handle stress.
    • Must be self-motivated and capable or working both independently and as a member of a team.
    • A positive attitude and willingness to do whatever it takes to get the job done.
    • Required availability to work irregular hours, including nights and weekends that involve organizational events and meetings.

    COMPENSATION AND BENEFITS:

    The salary range is $60k - $70k for this position plus a comprehensive benefits package. Anticipated salary near midpoint; commensurate with experience. Benefits include a 3% 403b match, hybrid work schedule, 70% contribution towards individual health plan, 10-week paid family leave, JCC membership, among others.

    Position Type: This is a full time, exempt level position. It qualifies for all benefit packages. For more information see the Employee Manual. This position requires a flexible work schedule to meet the demands of the organization.

    Mental Demands: Ability to communicate effectively (verbal and written); interpret policies, procedures, and data; maintain emotional control under stress.

    Physical Demands/Environmental Factors: Must be physically able to operate computers and office equipment; occasional bending, reaching, squatting, speaking, and listening; frequent sitting and maintaining close visual attention to write reports; occasional lifting up to 50 lbs.
