Responsibilities
Job Summary
The Event Scheduler facilitates the efficient operation of the department by maintaining up to date building schedules, event reservations, and resources. They will build strong relationships with key clients and stakeholders and assist with identifying new business opportunities to support department objectives.
This position will work on-site at Cleveland State University. CSU is selected as one of America's Best Colleges by US News & World Report providing a comprehensive metropolitan university committed to a high-quality education to students with diverse backgrounds, experiences, interests, and needs.
Essential Functions
* Utilize scheduling software to schedule events for new and returning external and internal clients, including CSU colleges, departments and student organizations
* Coordinate with internal departments as needed to ensure required resources and maintain positive working relationships with colleagues, partners, and vendors
* Use scheduling software to create, confirm, and update event reservations and generate reports
* Track accounts receivable and deadlines for contracted clients; coordinate billing, payments and journal transfers
* Draft client agreements, quotes, and invoices from templates and ensures all are signed as required
* Provide comprehensive schedules and other related information to the event and operations team for use in the successful execution of events
* Responds to and resolves administrative inquiries and questions
* Respond to event requests by phone/email and forward leads appropriately for follow up
Site Specific Responsibilities
* Create and distribute monthly post-event satisfaction survey to clients
* Management of approximately 30 on campus bulletin boards
* Approve, audit and maintain posting of all literature on a bi-weekly basis
Qualifications
Education and Experience
* High school diploma or equivalent required
* At least 3 years of office experience or related experience
* Experience working with a range of personalities, cultures and socio-economic statuses
* Sales experience preferred
* Demonstrated experience in customer service
* Demonstrated experience with a variety of computer applications and software
* Proficiency with EMS or CRM scheduling software preferred
