THE POSITIONThe Event and Scheduling Coordinator is responsible for planning, scheduling, organizing, and executing events and on-site experiences at Staccato Ranch. In this role, you will ensure seamless scheduling of facilities, staff, internal stakeholders, and external partners. This role requires excellent organizational skills, attention to detail, and managing multiple tasks simultaneously.DUTIES & RESPONSIBILITIESEvent Planning & Coordination: Plan and schedule events, including paid shooting experiences, hosted events for third parties, member courses, workshops, and social gatherings. Work with external partners to determine event needs, logistics, and pricing. Draft, send, and manage event pricing, quotes, and formal agreements for hosted events. You will be responsible for executing event agreements. Manage all pre-planning and gather details needed for the event approval process. Coordinate event logistics such as run of show, food and beverage, transportation, and accommodations. Manage event budgets and ensure cost-effective solutions.Scheduling & Calendar Management: Manage & maintain the Staccato Ranch event & experience calendar to ensure accurate, timely bookings and minimize overbooking. Coordinate across business development, range and operations, and facilities teams to avoid scheduling conflicts, staff shortages, and limited resources. Schedule and coordinate on-site events, tours, planning meetings, and other gatherings at Staccato Ranch. Resolve scheduling conflicts and communicate changes to range staff, operations team, and other necessary parties.Communication & Coordination: Serve as the primary point of contact for event-related inquiries and communications. Be the primary point of contact for event pricing, sending/receiving signed agreements, and event planning & preparation. Collaborate with internal teams and external partners to meet event objectives. Prepare and distribute event-related materials and communications.Administrative Support: Maintain accurate records and documentation of events, experiences, and schedules. Assist with administrative tasks, including preparing quotes, planning documents, and reports. Manage internal and external correspondence from planning to completion and follow-up of events.QUALIFICATIONS Bachelor's degree in Event Management, Hospitality, Business Administration, or a related field (preferred). Proven experience in managing complex, multi-organization schedules. Proven experience in event planning and coordination - preferably at an organization that hosts customers, guests, and events. Experience in a hospitality-driven industry a plus Excellent communication and interpersonal skills. Strong organizational and multitasking skills. Proficiency in scheduling software and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
