  • Oversee the servicing of corporate and social events in Rainbow Room and Bar Sixty Five. Provide servicing assistance as needed for 620 Loft & Garden.
  • Ensure that Rainbow Room's Sales and Event Services Department consistently exceeds ownership goals and guest expectations.
  • Service must maintain an extraordinary level of excellence based on specs of ownership.
  • Work closely with Culinary and operations teams to ensure menus & service standards exceed guests' expectations.
  • Act as primary pre-event contact for clients, planners and vendors. Ensure smooth hand-off to Banquets Department on day of event, and provide on-site event execution coverage as needed to ensure a flawless event experience for all.
  • Assure the success of all special events, while maintaining a profitable operation and high quality products and service levels.
  • Above all must actively embody, inspire and teach the core values to all employees.
What you do...PERSONNELTraining
  • Ensure that you follow all SOPs in relation to the Sales & Event Services Department.
Departmental Meetings / Scheduling
  • Due to the cyclical nature of the hospitality industry, you may be required to work varying schedules to reflect the business needs. In addition, attendance at all scheduled training sessions and meetings is required.
Weekly Sales Meetings
  • Participate in weekly Sales meetings to discuss revenue goals and upcoming projects and initiatives.
Bi-Weekly Banquet Event Order (BEO) Meetings
  • Participate in bi-weekly BEO Meetings with Rainbow Room operational departments to review details of upcoming events
SALES & EVENT SERVICES DEPARTMENTEvent Services
  • Ensure that all events are executed as contracted and guest expectations are exceeded at every event.
  • Work closely with operational teams to execute event servicing standards.
    • Develop Banquet Event Orders (BEOs) and floorplans for all assigned events. Revise BEOs and floorplans as needed throughout the planning process based on client guest count increases, dietary restrictions, timing changes, setup updates, F&B upgrades, or other last-minute additions.
    • Provide menu recommendations and conduct tastings with clients. Communicate and approve any custom menu requests, upgraded wines, or specialty cocktails with Executive Chef and Purchasing/Beverage team.
    • Engage in opportunities to actively upsell F&B offerings to maximize revenue.
    • Facilitate walkthroughs for clients, vendors, security teams, and planners/production companies ensuring all are aware of and respectful of the venue's landmark status and Rockefeller Center property restrictions.
    • Communicate with Rockefeller Center Operational Teams (Security, Property Management, Cleaning, Engineering, Electrical, Fire Safety, etc.) on key event details which impact building operations.
    • Distribute Banquet Event Orders, diagrams, timelines and vendor load-in schedules to Rainbow Room Operational Teams (Banquets, Culinary, Beverage, Purchasing, etc.)
    • Review all event details with RR Operations Teams at bi-weekly BEO Meetings.
    • Work with Director of Event Services to ensure hosts and coat check attendants are scheduled based on event needs.
    • Communicate day-of event changes from client to Banquet and Culinary Teams.
    • Introduce client to Banquet Director or Manager on Duty, and ensure smooth hand-off. Provide onsite coverage to confirm all event details are being properly executed by Operations team including room setup and vendor arrival.
    • Oversee event execution as needed to ensure client and guests' expectations are exceeded.
    • Follow up with client post-event to ensure expectations were exceeded, and foster relationships to encourage repeat business. Perform post-event financial reconciliation.
Leadership
  • Strong leadership abilities, sound judgment and knowledge of Sales, Catering & Event Service operations.
  • Leading by example, through actions, words and behaviors that influence others to act and respond in ways that are valuable & appropriate to Rainbow Room's Core Values.
  • Fostering a team oriented environment, within Sales & Event Services Department and all other RR teams.
  • Address employee performance concerns by adhering to established procedures for progressive discipline and counseling.
  • Perform Employees reviews as required.
Maintenance and Organization
  • Ensure that event areas are clean and presentable to clients.
  • Perform daily walkthroughs of event space and report any maintenance issues to the appropriate department.
  • Maintain filing system of current and past events.
Proper Purveyor Relationships
  • Treat purveyors & vendors with respect and as partners.
  • Reach out to vendors for COIs, load-in forms and staff lists. Perform individual site visits with client's vendors if they are new to the space.
  • Maintain relationships with vendors on Preferred Vendor List and ensure insurance requirements are up-to-date.
Purchases
  • All purchases need to be based on a balance of high quality, availability and cost.
  • Assist with the purchasing of sales, events & servicing products and systems.
Training
  • Train staff to ensure we are exceeding guest and owner expectations.
  • Educate all staff continuously to update on the latest servicing and sales techniques and SOPs.
Innovation
  • Must be innovative at all times to ensure constant excitement of service goals.
SERVICEExpectations
  • Assure that guest service standards are met or exceeded during all events.
  • Ensure BEOs are updated with proper information and delivered in a timely manner to operations team.
  • Inform Banquets and Culinary teams of relevant information regarding special food or servicing needs of VIPs.
  • Remain informed of level of guest satisfaction through communication directly with managers and floor staff and personal observation.
  • Anticipate and address guest's service needs as they arise and resolve all matters where expectations are not met.
  • Meet and greet client and ensure smooth transition to Banquet Manager on duty. Remain on site for VIP events requiring additional operational assistance and support.
ADMINISTRATIVECommunication
  • Send event schedule, load-in documents and security notes to all Rainbow Room and Rockefeller Center operational teams in advance of event.
  • Communicate any day-of event changes to all Rainbow Room and Rockefeller Center operational teams.
  • Maintain communication with Rockefeller Center Departments (including Property Management, Security, Engineering, Electricians, and Cleaning) on event-related details affecting their operations.
  • Create event timelines, or approve of client-provided timelines. Work with Banquet Director to ensure timelines are realistic for service.
Correspondence with Guests
  • Correspond with guests & clients and initiate on-going written correspondence with regulars and new guests by composing letters and writing cards to acknowledge appreciation of business and special events.
Technology
  • Must be fully practiced in and regularly use available technology and software to ensure effective communication of all event-specific details.
  • Demonstrate proficiency with Triple Seat & All Seated.
Management meetings
  • Participate in weekly Sales Meeting and provide input on issues. Responsible for resolving tasks.
  • Participate in Semi-Weekly BEO Meetings, Monthly PMO Meetings, and other meetings as determined that require event services representation.
Required Reading
  • Regularly read and review industry publications and other material related to industries and interests of our customers and regular patrons.
FINANCIAL
  • Most of the day to day needs will be handled by our Finance Department. However it is the responsibility of the Event Manager to maintain sales-related processes.
  • Create invoices and collect event-related payments from clients.
  • Maintain or increase profitability through constant monitoring of menus, goal setting, management and staff awareness of issues and initiating and maintaining financial controls.
  • Finding and taking advantage of opportunities that will improve the top line and cash flow.
GUEST RECOGNITION
  • Identifying and recognizing regular clients is paramount to developing repeat business. Develop caring relationships with regulars and regularly initiate frequent written and verbal correspondence with all guests.

  • 5+ years of previous event services management and supervisory experience at an operation with similar service, guest relations and operational standards.
  • Experience working with high-expectation clients and planners on both corporate and social events
  • Proficiency in wedding management and various cultural traditions
  • Strong knowledge and interest in food & beverage
  • Background in and knowledge of union operations
  • Ability to use Windows, Excel, Word, Outlook and basic database programs
  • Proficiency in Triple Seat and All Seated preferred but not required
  • Excellent written, verbal and interpersonal communication skills
  • Must be fluent in English. Helpful if conversant in Spanish, French or Italian. Ability to read, analyze and interpret general business documents, safety rules, professional journals, technical procedures, and governmental regulations. Ability to compose reports, business correspondence, task lists and procedure manuals. Ability to effectively present information and respond to questions from managers, team members and guests.
  • Ability to apply creative solutions to practical problems and situations where limited standardization exists. Ability to remain flexible in determining a variety of problem solving approaches. The employee must have the ability to maintain emotionally healthy composure and professionalism in stressful situations.
  • The physical demands described here are representative of those that must be met by the Event Manager to successfully perform the essential functions of this job. While performing the duties of this job, the Event Services Manager is regularly required to stand, walk, use hands to type and speak or hear. The employee is occasionally required to, balance, stoop, kneel, crouch or crawl. The Event Services Manager must regularly lift and/or move up to 15 pounds; frequently lift and/or move up to 5-30 pounds. Specific vision requirements include close vision, and the ability to adjust focus.
  • Peripherally supervises FOH staff through education and employee motivation. Carries out supervisory responsibilities in accordance with company philosophy, policies and applicable laws.
  • While performing the essential duties of this job the employee is frequently required to work in a limited physical space with variable atmospheric conditions including ventilation, lighting, smoke and extreme temperatures. The noise level in the work area is usually moderate to loud. Must have open availability including early mornings, late nights, weekends and holidays
