The minimum hourly rate for this position is: $19.00.Position Summary The Events & Campus Services Administrative Coordinator is the first point of contact for the Antioch University New England (AUNE) campus and provides administrative support to the Director of Events & Campus Services as well as other department and academic administrators as related to campus operations, events, and services.The Administrative Coordinator ensures a welcoming, customer-focused environment for students, staff, faculty, and visitors. The Administrative Coordinator provides seamless management of all mail operations; processes and records all room requests for all AUNE campus facilities; and communicates changes and resolves issues as necessary.Essential Duties and ResponsibilitiesReception DutiesServe as the first point of contact, greeting and welcoming visitors, answering the main campus phone, and responding to the main campus email.Respond to questions and inquiries, connecting visitors and callers to the appropriate campus contacts and using discretion when dealing with confidential matters.Serve as a point of contact for emergency situations when there is not a manager/director on site, calling 911 in emergencies requiring fire, police, or ambulance assistance and following the campus' emergency procedure protocol.Provide informal campus tours to prospective students who make unscheduled visits.Process incoming and outgoing USPS mail, UPS, and FedEx deliveries, providing notification and confirmation to senders and recipients. Maintain mail machine, working with the service provider if necessary. Train new employees on mail machine usage.Maintain inventory and check-out system for keys and access cards.Troubleshoot and manage telephone/voice mail systems.Maintain and support the AUNE Announcement email, including sending out announcements on behalf of faculty, staff, and student groups.Recruit, hire, train, and schedule front desk student workers, process student work agreements, and approve web time entries.Events & Campus Services SupportGuide schedulers/event organizers on the process for requesting set-up needs for scheduled classes, AUNE, and community events.Schedule rooms for all on-campus events and create a weekly building schedule. Work with Academic Administrators to resolve classroom scheduling issues, and collaborate with the Registrar to add new room assignments to the room schedule database as needed.As a member of the Commencement Planning Team, assist the Director of Events & Campus Services & Administrative Operations Coordinator with Commencement tasks such as answering student inquiries, helping with the cap and gown re-use program, and support the commencement team on the day of the event.Create and maintain an inventory tracking and ordering system for campus office and event supplies. Place orders for supplies and tableware on behalf of campus departments, including paying invoices and charging appropriate budgets for purchases.Process invoices through request for payment, process credit card payments, and provide general assistance to the campus services team including completion of forms.Send campus services updates to keep the community informed.Primary intake person for facilities emergencies, notifying the appropriate facilities team member when campus issues arise and maintaining communications regarding facilities and operations.Help maintain the campus re-use room and shelve food donations collected for campus.Manage the operations of the community kitchen and lounge areas. Report maintenance issues, create signage, and maintain inventory of community supplied items such as bulk coffee.Assist with distribution and maintenance of events bulletin boards in the community and reception areas.Performs other duties as assignedMinimum Requirements1 - 3 years of related work experience.Technical proficiency with a wide range of tools including MS Office (Excel and Word) and web-based tools including Google Suite.Strong attention to detail and the ability to handle competing priorities.Superior organizational, time-management, and problem-solving skills.Excellent communication skills with a focus on service orientation.Occasional nights and weekends are required for event support.Supervision ReceivedMinimal supervision receivedSupervision ExercisedYes, supervisory responsibilities (student employees)Hours of EmploymentThis is a full-time on-campus position serving a national university.
