JOB SUMMARY
Under general supervision, the Events Coordinator is responsible for scheduling and planning both small and large scale events and/or programs (internal and external facing) for the Community Center and Parks and Recreation Department. This position also provides general customer service and performs a variety of administrative duties to provide support to the Community Center division as part of the Victoria Parks and Recreation Department.
PRINCIPAL DUTIES AND RESPONSIBILITIES
* Works with Community Center Supervisor to develop and coordinate year-round events within the Parks and Recreation Department.
* Implements a marketing plan to promote increased participation in recreation, health and wellness programs, and services to the community at the Parks and Recreation Department.
* Select and manage relationships with vendors, negotiating contracts and ensuring compliance with all events and/or program specifications.
* Maintain continuous communication with clients to ensure their requirements are met, and manage guest interactions before, during, and after the event.
* Conduct debriefing sessions and provide reports on the event's success, including feedback from clients and attendees.
* Completes a variety of general clerical tasks; copies and files documents; receives, sorts, and distributes mail; answers phones and provides information or routes calls to appropriate the Department.
* Performs data entry; maintains and updates spreadsheets; uses spreadsheet data to generate various documents as required or assigned.
* Prepares invoices, reports, memos, letters, and other documents using word processing, spreadsheet, database, and presentation software.
* Conducts supply inventories; creates requisition forms for material and supply purchases; confirms deliveries, receives invoices, and processes receipts for payments.
* Updates and manages Department personnel files including license and certification information.
* Assists with making travel arrangements for staff; prepares and distributes approved travel vouchers and information packets to employees.
* Running errands and occasionally working the floor during events
* Providing support for operations staff and other divisions of the department as needed.
* Performs related duties as required or assigned.
PHYSICAL AND ENVIRONMENTAL CONDITIONS
Education, Training, and Experience Guidelines:
Required: An associate or bachelor's degree in event management, hospitality, communications, business, or related field is highly preferred.
Experience: Proven experience in event management or a related field is typically required, demonstrating a track record of successful event planning and execution.
License and Certification Requirements:
A valid State driver's license may be required.
Physical Demands and Working Environment:
Work is performed in a standard office environment.

* Typing and entering data with speed and accuracy.
* Maintaining accurate records and filing systems.
* Preparing clear and concise reports.
* Communicating effectively both verbally and in writing.
* Establishing and maintaining effective working relationships.
