Reporting to the Director of Auxiliary Services or designee, the Events Coordinator 4 will provide support services to the Kaminksi Conference Center. Support by triaging and supporting all inbound issues via phones, video conference, email, and walk-ins including providing tours and assistance with multimedia. This position will provide and document solutions for the users and escalate issues using the ticketing system. All incidents must be logged and documented following prescribed process. Complex and/or high priority issues are elevated to specialized support groups for resolution as needed, however, the Events Coordinator 4 is responsible to ensure that an effective solution is provided to the user. Support will conduct preventative maintenance, create and follow knowledge base documentation, and/or systems support. The incumbent will diagnose and resolve low-risk problems using predetermined methods on computer or telecommunication software and/or hardware, or applications running in standalone, client/server, web-based, and/or networked environments. The planning, scheduling, coordinating events at the Kaminski Conference Center. The reviewing of budgets, purchasing, billing, and customer service for the Kaminski Conference Center.The Events Coordinator 4 Kaminski Conference Center position is a full-time classified position; the beginning salary is $3,999.00 per month for 40 hours per week, with periodic increments up to $5,370.00, plus a full state benefits package. The shift will include early mornings, weekends, and evenings for Kaminski Conference Center events. Essential Tasks ESSENTIAL FUNCTIONS/TYPICAL DUTIES:
  • Reviews and prioritizes facilities use/event/Kaminski Conference Center requests to assure optimum use of space; assigns space and monitors facility use to assure conformity with policies.
  • Incumbents plan, arrange, and coordinate a wide variety of support services for events such as, complex single-day conferences, multi-day conferences, and workshops.
  • Reviews, prepares, and maintains Kaminski Conference Center budget, records, and reports; comprehensive plans, summaries, and recommendations.
  • Performs simple repairs/fixes using knowledge base articles and pre-determined methods to resolve relatively low-risk problems and reports more substantive problems to a higher level for action.
  • Provides information including tours of event spaces, outlining analog, and digital audio/video equipment.
  • Answer inbound calls to the Kaminski Conference Center and facility rental and events phone line and answer emails.
  • Monitor and respond quickly and effectively to incoming Tier 1 scheduling and events requests received by the technology service helpdesk or Auxiliary Services;
  • Provide support via phone, email, walk-ins, and by remote administration tools resolving incidents to the end user's satisfaction;
  • When beyond Tier 1 support, utilize helpdesk ticketing system software to record and document inbound support requests and resolutions accurately;
  • Escalate and provide follow-up on complex and/or high priority support incidents using established escalation paths;
  • Provides support to or direct to staff who can help with computer, audio visual systems users such as speakers, microphone, projectors, displays, providing correct log-on procedures, equipment maintenance procedures, operations, system usage procedures, and making preliminary identification or problems encountered by users.
  • Makes preliminary identification of problems encountered by users to determine if it is due to equipment, network, or application errors and contacts appropriate personnel to achieve resolution.
  • Performs simple repairs/fixes using knowledge base articles and pre-determined methods to resolve relatively low-risk problems and reports more substantive issues to a higher level for action;
  • Works on Tier 1 tasks to support technology services projects performs other duties as assigned.
  • Process the billing for the Kaminski Conference Center by working closely with business office, vice president office, and community relations department.
  • Confirming events then forwarding to correct departments.
  • Facilitates quarterly meetings.
  • Inspects meeting areas for maintenance.
  • Coordinates and controls inventory of expendable items.
  • Other duties as assigned.
Qualifications MINIMUM QUALIFICATIONS:
  • Associate's Degree.
  • Two years of experience in clerical experience or certification as a Certified Meeting Professional (CMP).
  • OR equivalent education/experience.
PREFERRED QUALIFICATIONS:
  • An earned Bachelor's degree.
  • Experience working in higher education.
PHYSICAL REQUIREMENTS:
  • Requires the ability to lift, carry, push, and pull objects up to 50 pounds.
  • Bending at the waist; kneeling and squatting/stooping; repetitive arm/hand movement (extending the hands and arms to seize, hold, and grasp).
  • Reaching above shoulder level (including stretching upwards on tiptoe maintaining balance); and standing for long periods of time.
KNOWLEDGE OF:
  • Customer service.
  • Knowledge and proficiency in the use of Microsoft Office Suite.
  • Event Coordinating.
  • Venue Marketing.
  • Configuration, networking, and cabling best practices.
  • Analog and digital audio equipment (speakers, microphones, etc.) and protocols.
  • Analog and digital video equipment (projectors, displays, etc.) and protocols.
  • Distance learning solutions, including Zoom, Teams, MS Stream, Panopto, and Canvas.
  • Billing process.
ABILITY TO:
  • Use computer skills; proficient in Microsoft Outlook, Word, Excel, PowerPoint and additional editing platforms.
  • Work independently under general supervision.
  • Work effectively with a diverse population of students, faculty, staff, and local community.
  • Display an effective understanding of the job responsibilities, the roles of others within the Auxiliary Services Department, and YVC employees, and the strategic goals.
  • Contribute to the overall satisfaction goals of the Auxiliary Services.
