About NSTXL The National Security Technology Accelerator (NSTXL) harvests innovative technology from the commercial and non-defense marketplace, ensuring the development of better, cheaper, and faster defense capabilities. We offer a unique and simplified approach to rapidly develop, demonstrate, and assess prototypes that address a range of operational and installation needs, from individual Warfighter technology up to large-scale installation projects. NSTXL delivers technology to the Warfighter by serving as a one-stop shop to match government requirements with innovative private-sector and academic solutions. Each of our OTAs is a distinct member-based not-for-profit with its own membership that is managed and serviced by NSTXL. Currently, our OTAs have more than 900 corporate, non-profit, educational, and financial institution members. For these members, NSTXL offers opportunities to bid on government contracts, education and training, and live/virtual forums on a wide variety of topics. Job Description We are seeking a highly organized and results-driven Events Manager to join our dynamic team. In this role, you will be responsible for the end-to-end production of a diverse array of events throughout the year, ranging from small to large including ad-hoc virtual programs, trade show activations, and B2B/B2G conferences and meetings in various formats (in-person, hybrid, and virtual). As the Events Manager, you will play a crucial role in highlighting key topics vital to national security, creating informative and impactful events that support stakeholders from the Department of Defense to emerging innovators. Responsibilities:
  • Collaborate with internal and external stakeholders to drive event strategy and successful execution.
  • Own program event management in its entirety (program timelines and team deliverables/deadlines) within project management tool (Monday.com).
  • Plan, execute and manage RFP/venue sourcing, contract review and negotiation as well as space planning, food and beverage, AV production, exhibit design, staff management, registration, and more.
  • Responsible for all event communication to program team, event support staff, speakers, stakeholders, and registrants before, during, and post-event to ensure an exceptional event experience.
  • Help track event budget with support from Event Director, CMO, and finance team.
  • Leverage existing marketing content and templates to support the promotion and execution of events in Cvent (emails, event websites, print materials, etc.).
  • Collaborate with the Brand team to request new design and copy content as needed, branded event packages for larger events, and press and social media support.
  • Manage post-event follow-up to attendees including emailing event resources, surveys, and resource library management.
  • Create and manage event postings on NSTXL.org and our Community site.
  • Host and support virtual events via Microsoft Teams, Zoom for Government, and Cvent.
  • Build and deliver event recap reports to internal and external stakeholders.
  • Assist in creating campaign dashboards and reports in HubSpot and event software.
Location: RemoteBasic Qualifications:
  • BS/BA degree and a minimum of 7+ years of B2G event planning and management experience.
  • U.S. citizen with the ability to receive security clearance.
  • Proven experience fully owning the execution of a 500+ person B2G conference with multiple tracks, across multiple days.
  • Excellent written and verbal communication skills and experience working with VIPs.
  • Detail and deadline-oriented, with the ability to adapt to challenges and opportunities with a solution-oriented perspective; excellent strategic thinking and critical reasoning skills.
  • Strong organizational abilities and project management skills; must be capable of managing multiple projects simultaneously and working well under pressure in a fast-paced, deadline-driven environment.
  • Proficient in event management software and virtual event platforms.
  • Experience using CRM and marketing automation tools and familiar with digital marketing concepts.
  • Self-motivated and team-oriented, willing to jump in and help when needed on projects.
  • Thorough understanding of the event and meeting management process - conception to completion.
  • Ability to thrive in in a fully-remote work environment
  • Ability to work extended hours during big event weeks.
  • Must be able to stand for extended periods of time and able to move/lift heavy objects ranging 10-30 lbs.
