The Events Specialist is responsible for assisting in the implementation of strategic initiatives across the organization, with a primary focus on aspects of event management and execution, ensuring smooth operations and delivering a memorable experience for event attendees. Reporting to the Director of Project Management, this position requires a driven individual with strong communication, time management and organization skills, as well as an exceptional ability to adapt to the ever-changing events landscape, developing new skills as needed.
- Assist in the planning and execution of in person and virtual company events, including education, corporate, social and community events
- Manages event RFPs from initial RFP creation, proposal collection and review, vendor/facility selection, food & beverage, A/V and transportation requirements
- Manages event registration process including meeting request management, event registration site creation, email communications, travel booking support and program execution
- Acts as Host & technical support for company sponsored zoom meetings and webinars
- Manages attendee metrics reporting, including internal metrics reporting and submitting program accreditation requests and post program rosters to continuing education accrediting bodies
- Manages event budget reporting, including tracking event expenses, reviewing accuracy of invoices, and data entry of expense data into event management software for detailed event reporting
- Manages data integrity of the events attendee database, ensuring accuracy, completeness, consistency, and validity of attendee and events data
- Performs administrative tasks including (but not limited to) material creation such as name tags/tents, event onsite registration support, event materials prep & shipment and event clean up
- Acts as company representative at events
- Adheres to the companys policies and procedures
- Assists with booking corporate travel itineraries and hotel blocks as needed
- Performs other duties as assigned.
- Bachelor's degree, Associates with 1+ years of relevant work experience, or 2-3 years of relevant work experience
- Event planning or event management experience
- Excellent interpersonal and communication skills
- Strong attention to detail
- Flexibility and drive to meet tight deadlines, assist on multiple projects and prioritize them appropriately
- Ability to work well with people at all levels of the organization
- Highly professional, with strong work ethic and self-direction
- Previous experience in events, hospitality, or a related field a plus but not required
- Flexibility to work a varied schedule, including evenings and weekends when required
- Remain in a seated position at least 75% of the time
- Ability to navigate around the office to access file cabinets, supplies, office machinery, etc.
- Ability to communicate with others via in-person verbal communication, as well as frequent emails and phone calls. Must be able to exchange clear, accurate information in these situations.
- Ability to utilize a computer, keyboard and mouse when working
- Ability to lift and carry up to 40lbs
- Must be able to travel domestically via plane and motor vehicle up to 20% of the time
- Proficiency in Microsoft Word, Excel, PowerPoint and Outlook
- Working knowledge of Cvent
- Working knowledge of Zoom, including Zoom Meetings and Zoom Webinars
- Working knowledge of project management tools, such as Monday
- Salesforce experience a plus
- Excellent verbal and written communication skills
- Exceptional time management and organization skills
