JOB DESCRIPTION AND POSITION REQUIREMENTS:

The Event Planner (Event Specialist - Intermediate Professional) plans and organizes meetings and special events. Responsibilities include researching and recommending venues; coordinating logistics including transportation, accommodations, meals, and technology; building and maintaining relationships with vendors; establishing and monitoring budgets; supervising personnel.

+ Facilitate planning meetings; consult with customers to determine on-site and virtual meeting/event objectives and requirements; plan the meeting/event scope and format; establish and monitor budgets

+ Research and recommend venues and services conforming to customer requirements

+ Coordinate services such as accommodations, transportation, tours, catering, and event security

+ Ensure availability of signage, displays, printing, audio-visual equipment and other technology, and any special needs requirements

+ Negotiate contracts with service providers and suppliers

+ Direct administrative details, such as financial operations, promotional material dissemination, and inquiry response

+ Ensure a safe and secure environment for staff, customers, and guests; address and appropriately respond to issues of concern

+ Monitor activities to ensure regulatory and policy compliance, participant satisfaction, and problem resolution

+ Conduct post-event evaluations; determine improvement areas

+ Oversee environmental management or sustainability programs addressing recycling, conservation, or waste management

+ Build and maintain relationships with internal and external vendors, event support services, etc.

+ May hire, train, coach, supervise, schedule, and evaluate employees; recommend, plan, and coordinate professional development opportunities; adhere to Collective Bargaining Agreement provisions; participate in grievance/arbitration proceedings

Education and Experience:

Minimum requirement is an Associates degree plus two (2) years of relevant experience. Or, an equivalent combination of education and experience.

The salary range for this position, including all possible grades is:

$42,100.00 - $61,000.00
