**Job Description**

The **Events and Web Specialist** reports to the Program Support Manager. The primary responsibility is to coordinate with members of the Division to assist in planning all aspects of their events and reservations. The Specialist will be responsible for supporting approximately 1200 events annually, ranging from room reservations to large events such as the nine Orientations sessions. The Specialist will coordinate with BC departments for food, space, AV and with outside vendors for contracts, space arrangements, food, and transportation. Information about each event will have to be recorded on the UMM Events calendar and the Apex database. It is expected that each events financial support is approved with their department Director and the fiscal administrators in the Service Center.

The Events and Web Specialist is expected to have knowledge of the Universal Design Website Accessibility (which falls under the Design for Learning) and to have a background in AEM(Adobe Experience Manager), as they will work with the Manager to process on-going updates on the Divisions web pages. Under the guidance of the Manager, the Specialist will assist in coping forward the current programming in the UMM Apex database, and to make the necessary updates current with each fiscal year, and will assist in onboarding new program managers.

The Events and Web Specialist advises program directors on facilities capabilities, required permits/licenses and company policies and procedures for both BC and non-BC vendors. Contacts program administrators to reserve their on-campus and off-campus space early in the fiscal year. Before any contract is signed, the Events and Web Specialist works with the Business Manager on budget spending limits. Web Specialist collects the dates of the events and if transportation, while following A.D.A. regulations, is needed bundles them together to put them to bid through Procurement. Furthermore, coordinates with all the service providers and makes the necessary arrangements.

Hiring Range: $26.76/hr to $33.43/hr. Pay rate commensurate with relevant experience.

**Requirements**

+ Knowledge of the University's purchasing policies and procedures preferred.

+ Working knowledge of the BC Reservation system preferred.

+ Ability to manage multiple events and programs, including communication, room reservations, expense processing, enrollment, collection and processing, A/V equipment, gifts and catering, etc.

+ Ability to problem solve issues and complete projects timely and efficiently.

+ Strong communication skills, both written and oral.

+ Extremely detail-oriented.

+ Ability to meet deadlines for web by managing and prioritizing multiple projects.

+ Knowledge of how budgets/contracts/bids work, preferred.

+ Knowledge of the University's Communications policies and procedures.

+ Knowledgeable about social media.

+ Knowledge of web protocol, standards and guidelines; ability to identify and incorporate best practices into UMM websites (AEM).

+ Ability to work effectively and professionally as part of a diverse team.

+ Self-motivated and proven ability to work with minimal supervision.

+ Proficiency with Microsoft Office, especially Excel and Word.

+ Proficiency with FileMaker Pro and Apex and Google Drive

+ Bachelor's degree in Communications, preferred.

+ Familiarity with university and Administrative Policies, preferred.
