PositionExecutive Administrative AssistantDivision:Business and FinanceDepartment:Business OfficeReports to:Vice President of Business and FinancePosition SummaryThe Executive Administrative Assistant is responsible for scheduling appointments, giving information to callers, taking dictation, and otherwise relieves officials of clerical work and minor administrative and business details.Essential Duties & ResponsibilitiesThe results you will deliver each day that matter most!
- Assists with day-to-day operations of the office and maintains confidential information.
- Perform general record keeping, order supplies, and monitor office equipment operation.
- Assists with internal and external communication to departments and creates letters, presentations, and other communications as needed.
- Manages detailed calendar for the CFO/Vice President.
- Makes travel and accommodation arrangements for meetings and conferences.
- Notify the CFO/Vice President of schedule changes and provide necessary meeting information.
- Answer and direct phone calls, take messages, and field/answer all routine and non-routine questions.
- Prepare requisitions for the Division of Business & Finance.
- Sort and direct mail to the different departments.
- Administrative work experience involving research and analysis.
- Proven experience prioritizing and organizing tasks and projects, including handling multiple priorities.
- Excellent written skills involving detailed quarterly grant reports and board committee meeting minutes executing while meeting or exceeding deadlines.
- Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations involving numerous and diverse demands.
- Excellent interpersonal skills with the ability to work collaboratively and effectively with a diverse faculty, staff, and student population.
- Demonstrate ability to use considerable judgment, integrity, and discretion including dealing appropriately with confidential information and sensitive matters.
- Assist with the College insurance and risk management assignments including monitoring, reviewing, and sending out certificates of insurance.
- Assist with the purchase of international insurance.
- Other duties may be assigned.
Education/ ExperienceWhat you will need to be successful! Bachelor's degree from an accredited college or university and/or equivalent training and administrative work experience.
- Two years of experience providing high-level administrative support to an Executive, Vice President, complex department, or organization.
- Microsoft Office experience/knowledge
- Jenzabar experience/knowledge
