Job Summary
Provides support for 3 executives: the Senior Director of Federal Government Affairs, the Senior Director of Environmental and Sustainability and the Vice President for Public Affairs and Sustainability. The team will be especially busy with a new administration and congress. There will be lots of activity, meetings and preparations.
* This position has a flexible hybrid schedule, and it is an essential role*
Essential Functions
* Assists executive in time management and calendar scheduling, including day-to-day and long-term management of meetings, projects and priorities
* Schedule all meetings and travel as needed as requested, including prioritizing meetings and communicating all relevant details to participants.
* Balance conflicting priorities in order to manage workflow, ensure the completion of essential projects, and meet critical deadlines.
* Ensure executive is prepared for upcoming appointments by gather materials necessary for each meeting.
* Processes expenses, timecards, and invoices for the supported executives according to established corporate processing guidelines; ensures expenses and invoices are paid in a timely fashion.
* Work with other team members to collect and assemble information for presentations, projects and strategic planning
* Handle phone, email and postal mail inquiries and respond appropriately and maintaining confidentiality.
* Work as a member of the team, willingly providing back-up support for co-workers when appropriate and actively supporting team and company goals
* Recommends, creates and implements and maintains improved administrative systems, procedures and processes including electronic and paper-based filing systems.
* Creates reports, spreadsheets and graphs by obtaining, compiling and organizing data.
* Support the planning of events, meetings and functions within NiSource and with outside organizations
* Required Qualifications for Position
* Three (3) years recent project coordination or related administrative support experience.
* High School Diploma
* Proven organization and time management skills to complete a high volume of varied responsibilities in a fast-paced setting with excellent attention to detail and the belief that no task is too big or too small
* Excellent communication skills (oral and written) with a confident, concise, clear and compelling style.
* Excellent relationship builder; ability to demonstrate a high level of tact, discretion, and diplomacy with all internal and external stakeholders. Must also demonstrate ability to maintain confidential/sensitive information.
* Ability to project a professional and positive demeanor and image.
* Skilled in all aspects of planning and project management/able to take an idea from concept to completion.
* Proficiency with Microsoft Office applications including Word, Excel and PowerPoint. Scheduling appointments/updating calendars a must.
* Knowledge of proper document design and execution, e.g. report formatting, business letters.

* Preferred Additional Qualifications for Position
* Associate's or Bachelor's Degree from an accredited college
* 4-6 years 5-8 years' experience in an administrative support capacity.
* Certified Administrative Professional (CAP) Upon Hire

Salary Range:
$65,900.00 - $99,000.00
