The Prince George's County Office of Homeland Security is currently seeking qualified applicants to fill an Executive Administrative Aide,grade G21, in the Office of the Director.

About the Position

This position is the highest level of executive secretarial and administrative support work in the County and is needed to provide direct support to the Director, OHS and support the mission of the OHS. The incumbent in this position will perform work at an executive administrative and professional level, requiring extensive contact with OHS senior leadership and staff, internal and external federal, state, and local partnerships, and the public during daily operations and evolving emergency events. Work assignments will require a comprehensive knowledge of County administrative procedures, departmental rules, regulations, and procedures; the ability to communicate well, orally and in writing; and possess a high degree of independent judgment, creativity, and initiative. With advanced experience in utilizing available technology, the incumbent will create, edit, and prepare various types of documentation on the Director's behalf. Some of the incumbent's executive level duties will include the coordination and tracking of assorted details and tasks for accountability and manage calendar scheduling and meeting logistics.

About the Agency

The Office of Homeland Security (OHS) was developed as a result of legislation passed in 2003. This new agency incorporated critical emergency response entities that were previously part of other agencies.

Public Safety Communications (PSC), which included all County 9-1-1, emergency dispatch and radio system support, had been part of the Office of Information Technology and Communications (OITC). The Office of Emergency Management (OEM) was a division of the Fire/EMS Department. OEM and PSC were combined under the leadership of the Deputy Chief Administrative Officer for Public Safety/Director of Homeland Security, forming the Office of Homeland Security. The legislation and resulting changes to the Charter, spelled out the separate and distinct missions assigned to OEM and PSC.

Examples of Work

* Prepare and coordinate reports, projects, letters, memorandums, meetings, and other pertinent material to support the Director and agency mission.

* Provide complete executive administrative assistance; to include, create and edit emails and communication correspondence; draft correspondence memorandums and letters; and ensure all information is complete and recorded accurately.

* Summarize information in a clear, accurate, and concise manner for use by the agency lead in major work activities.

* Develop and maintain tracking system(s) for all assignments to ensure timely submission and ensure critical deadlines are met for appropriate action.

* Maintain broad knowledge of office management and functions, as well as an understanding of responsibilities of internal and external departments and agencies to make accurate referrals and notifications.

* Establish professional contacts and maintain effective and cooperative working relationship with senior leadership, staff, and internal and external departments/agencies.

* Utilize available technology to make personal contact with officials, federal, state, and local partners, community and church members, and agency's senior leadership and personnel to schedule appointments and to gather and/or capture all necessary details or notes from meetings, emails, and calls.

* Gather, organize, and prepare all appropriate materials and background information prior to Director's meetings; follows up and assigns tasks accordingly to ensure the Director is appropriately prepared for the meeting/event.

* Coordinate travel arrangements, memberships, and ticket purchases.

* Organize and prepare for meetings, to include gathering documents and coordinating logistics of meetings.

* Scribe meeting notes and communicate action items for follow up with agency senior leadership, staff, and internal/external partners and meeting participants.

* Maintain adequate clerical and phone coverage; take detailed messages; maintain log of incoming and outgoing mail.

* Manage schedule of agency lead.

* Agency public liaison to mediate agency and government services and resources for resolving internal and external inquiries and issues.

Qualifications

* Must have experience at the Administrative Aide IV level equal to the length of the probationary period; or Associates degree in Business Administration or Secretarial Science andthree (3) years of senior level secretarial/administrative experience which involved working with the public, office management and operational details, and staff supervision. Any equivalent combination of relevant training, education, and experience will also be accepted. Applicants must be proficient in typing and shorthand where required.

* Possess and maintain a valid driver's license.

Preferred Qualifications:

Training and proficiency in Microsoft 365, Microsoft Office Suite tools, and Adobe software; Administrative Professional Certification; Project Management Certification

Conditions of Employment: Upon selection, the candidate must:

* Applicants who meet minimum qualifications must pass an administered Administrative Aide exam.

* Meet all training and performance standards and demonstrate proficiency as required by the agency.

* Successfully pass preemployment checks which may include reference checks, background investigations, and drug screenings, where applicable.

* Positions within the Office of Homeland Security are essential.

* Essential employees are expected to report during standard or non-standard hours as operations necessitate, or during emergencies. Essential employees are expected to report or remain at work when other County employees are granted Administrative Leave.
