Work Year: Twelve-Month position Work Day: Full Time, (7) hours per day/(35) hours per week Hourly Wage: (Dependent upon experience) Qualifications:
- Associates degree or equivalent required.
- A minimum of five (5) years previous experience in a related field.
- Ability to plan and organize work schedule, set priorities, work independently and be self motivated.
General Responsibilities:
- Act as confidential administrative assistant to the school principal and/or school assigned. Manage calendars and schedules, screen callers, and arrange appointments, meetings, and conferences as directed
- Design, establish and maintain department information, including physical and electronic files. Prepare reports as necessary and/or directed.
- Ability to oversee daily operation of office
- Respond to inquiries on the telephone and in person. Provide information and assistance to others in a courteous manner. Resolve complaints within the scope of information and authority and refer to others, as appropriate.
- Take notes at meetings as required.
- Initiate correspondence on a variety of matters requiring an in-depth understanding of department policies, procedures, and district practices. Format, create, produce, and edit correspondence and other written materials.
- Operate office equipment, including copiers, facsimile machines, and computers; input and retrieve data and text; and organize and maintain storing and filing
Specific Responsibilities:
- Process student registrations and withdrawals.
- Greet visitors, make and receive telephone calls, take messages, and route calls when needed.
- Maintain school records and files for building, principal and related requirements, including creation of data reports.
- Review principal's mail; bring attention to important pieces of mail.
- Maintain principal's calendar.
- Type, prepare, distribute, file records/reports, correspondence etc. related to building functions and principal needs, if applicable.
- Assist/orient substitute teachers and arrange alternate coverage when a substitute is not available.
- May initiate requests for residency investigations.
- Process attendance/payroll for the building staff, ESS and serve as the time clock manager for classified staff assigned to his/her building.
- Process and maintain past and present student records in accordance with records retention requirements of the state.
- Assist the principal in the preparation of school level budget projections and monitor expenses of current fiscal year operating budget.
- Order supplies and materials for the building using electronic ordering systems. Inventory the supplies when they arrive, follow up on order errors or damages, and work closely with the accounts payable person, if applicable.
- Additional tasks as assigned by the Building Principal to benefit the operation of the school and students.
- Maintain student activity and special fund accounts, including bookkeeping and account reconciliation work.
- May assist students and parents with schedule, transportation or other problems.
