JOB TITLE: Executive Administrative Assistant CLASSIFICATION: Full Time, Non-ExemptPROGRAM/DEPARTMENT: Agency Support Department IMMEDIATE SUPERVISOR: Chief Executive OfficerPOSITION SUMMARY: Provides confidential administrative supports to the Chief Executive Office, Executive Team and Board of Directors. Supervises agency support staff including administrative assistants level I and II. Supports Executive Team and Board of Directors by performing advanced clerical, administrative and communication duties. Responsible for coordination of agency insurance, contracts, etc. Conducts other independent projects as requested. Manages workflow and coordinates secretarial functions to ensure that all required tasks are completed according to prioritized time lines; perform routine administrative and clerical functions; maintain information flow. QUALIFICATIONS:Minimum Education, Training & Experience:High School Diploma or equivalentFive years' experience in a position of executive-level administrative support 60 wpm typing speedPreferred Education, Training & Experience:Associates Degree in Business Administration or related fieldTwo years supervisory experience High level of computer proficiency in Microsoft Office products and other softwareExperience with transcribing clinical dictation, meeting minutes, and other informationESSENTIAL SKILLS AND ABILITIES:Valid Driver's License with driving record that meets agency standards; reliable transportationCurrent New York State Notary Public or willingness to complete within 6 months of hireAbility to present oneself professionally to internal and external contactsAbility to handle information in a highly confidential mannerAbility to make decisions under pressure and direct the work of othersAbility to effectively communicate orally and in writingAbility to demonstrate good judgment and initiativeAbility to work effectively without direct supervisionAbility to assess and prioritize responsibilities; ability to multitaskAbility to appropriately organize large amounts of informationAbility and willingness to travel when needed to conduct agency businessCORE COMPENTENCIES: Flexibility/adaptability; team player; interpersonal skills; judgment/problem solving; customer focus; active listening; leadership.
