Job Summary:

Reporting to the VP, School Operations, this position not only supports the CEO, but also supports both EdisonLearning's V.P. of School Operations and the V.P. Strategy & Growth for NorthStar Academies, Inc.( NSA ). This position handles highly confidential information on a regular basis and must perform duties in a manner that maintains confidentiality at all times.

This position acts as the office manager for EdisonLearning's corporate home office and is accountable for performing the day-to-day administrative & clerical functions for both the CEO and EdisonLearning's V.P. of School Operations, such as preparing correspondence, arranging conference calls, scheduling meetings, general office management duties, making travel arrangements and processing invoices and expense reports, and assists with entry level human resources tasks (e.g., ensuring that new corporate employees have the equipment necessary to perform the essential functions of the position, as approved by the employee's supervisor). This position also provides administrative support, under the supervision of the NSA's V.P. Strategy & Growth (the latter serving as Board Liaison for NSA's Board of Directors), which includes drafting and ensuring the publication of board meeting notices, acting as the recording secretary for the taking, transcribing and publishing of the minutes of board meetings, assisting in the preparation of board presentations, and coordinating the attendance and, where appropriate, obtaining the signatures of board members on approved legal or compliance documents.

Main Responsibilities:

* Executive Admin Support:

* Provide administrative support to Ft. Lauderdale office Executives and Human Resources Department by anticipating and preparing materials needed for conferences, correspondence, appointments, meetings, telephone calls, etc.

* Composes memoranda from dictation, verbal direction, or from knowledge of company policy or procedures files correspondence and other records

* Manages Executive calendars, events and travel arrangements upon request

* Prepare travel and expense reports as needed

* Office Management Support:

* Greet visitors, ascertain nature of business, and direct visitors to employer or appropriate person

* Manage the office supplies and reorder as needed

* Answer incoming phone calls and direct callers accordingly or take messages for timely delivery

* Assist in resolving any administrative problems

* Run company errands

* Collect and route mail timely to appropriate parties

* V.P. of School Operations Support

* Assists VP School Operations with the compilation of all NorthStar Academies' Task Force Reviews and site audit documents

* Prepares Observation & Operational Walkthrough Forms

* Creates FL Yearly School Calendars;

* Plan, coordinate and organize the EdisonLearning Leadership Development Academy (ELDA) trainings

* Plan the Monthly New Staff Onboarding/Training

* Assist with preparing training presentations and documents

* Prepare and distribute Standard Operating Procedures and EdisonLearning Accountability Tools

* Inputs data and create and maintain school operational reports

* Supports with preparing travel requests

* During FTE, supports with the compilation of FTE school enrollment numbers

* Compile information and prepare and maintain a variety of school records, logs and reports related to school operations and academic achievement

* V.P. Strategy & Growth and Board Liaison Support:

* Prepares correspondence and memos independently or from written and or oral instructions

* Maintain confidential files and records for the Vice President and Board documents

* Arranges special luncheon meetings as directed

* Manages or develop databases for mailings and organizational directories

* Schedules facility setups and catering arrangements as needed

* Works with members of the NorthStar Board of directors to ensure communication is professional, timely and accurate

* Serve as a Board Liaison. This includes:

* Ensures all Board reporting, minutes, correspondence and documentation is complete

* Scheduling Board meetings, assist in creating annual board meeting schedule.

* Developing and distributing meeting materials.

* Taking minutes at all Board and committee meetings. This includes updating related documents and maintaining accurate corporate records.

* Transcribe meeting minutes and ensure they are uploaded in central place

* Providing logistical support for Board members (travel arrangements, reimbursements for expenses, etc.)

* Prepare meeting notices, agendas, materials and minutes for Executive Committee, Board

* of Directors and any other committee/groups as needed

* Provides high-quality, responsive and courteous customer service by responding promptly to e-mails, phone calls and in-person inquiries

Internal: Company Executives, Principals, HR Managers/Director, Achievement Team, Legal Counsel

External: School Boards, vendors, building management, students, parents, school district personnel, other community members as necessary.

Qualifications

Background:

* College degree required or equivalent experience

* Experience in education or Human Resources arena preferred

* Strong employee and/or customer relations experience preferred

* Basic knowledge of employment laws preferred

* Superior interpersonal and relationship building skills, including excellent verbal and written communication

* Proficiency in MS Office required, comfortable using web-based tools

* Ability to work with minimum supervision

* Demonstrated ability to manage multiple tasks successfully

* Demonstrate diplomacy and ability to handle confidential and sensitive information
