Job Description:
The Executive Administrative Assistant in the County Executives Office provides a full range of office support tasks requiring special skills and knowledge in a variety of areas along with excellent customer service both internally and externally. The work involves various administrative processes and methods, including using office automation systems and computer applications. The supervisor provides general guidance for new or unusual assignments and recurring assignments are performed independently. Contacts include county employees at all levels, the general public, other municipal or private sector agencies, and elected officials. This is an exempt position that serves at the pleasure of the County Executive. This position reports to the Chief of Staff. The salary range for this position is $52,429 - $63,000 based on experience. Tasks include, but are not limited to: Providing excellent customer service through telephone and face-to-face interaction in an office setting including hospitality service to visitors and guests; Answer main line phone calls during designated phone shift coverage and direct caller to an appropriate contact; Works closely with the Community Engagement & Constituent Services team to ensure requests for information or services are entered into the case management system and assigned to the right individual, and may attend a variety of CECS lead meetings as needed; Maintain various areas in the office ensuring that they are well stocked and organized such as the waiting area, staff mailboxes, conference rooms, storage areas, and kitchenette(s); Ordering general office supplies, kitchen supplies, and other procurement as needed; Schedule selected conference rooms as requested by other staff for meetings and various staff meetings; Receives outside and interoffice mail including deliveries; Open, sort, scan, log, and distribute accordingly; Serving in a variety of office-wide administrative roles such as facilities requests, citations and proclamations requests, procurement, payroll, and others, and serving as backup for other administrative roles as needed; Assists with office events as needed; Other duties as assigned. Minimum Qualifications Graduation from high school supplemented by educational or training courses in office management or administrative practice(s); and one (1) or more years of experience as a paraprofessional with multi-faceted administrative or office management duties. The Executive Administrative Assistant must possess excellent organizational skills and oral and written communication skills, have good judgment and the ability to deal effectively and courteously with all personnel, have a thorough knowledge of modern office practices, procedures, and equipment, be proficient in Google Workspace, have considerable knowledge of office record keeping and reporting, ability to develop effective office work procedures and to establish and maintain effective working relationships within all levels of county government, be a team player with a positive attitude and commitment to confidentiality and professionalism.
