The Lyon College School of Dental Medicine welcomes applications from exceptional candidates for a
full-time administrative assistant position. This position provides high-level administrative support to
the dean and associate deans and serves as a vital link within the college community. This role requires a
proactive, organized, and detail-oriented individual who can manage multiple tasks and communicate
effectively with various stakeholders.
Duties and Responsibilities (Essential Functions):
* Manage the deans' calendars, scheduling meetings and prioritizing appointments.
* Prepare and edit correspondence, reports, and presentations.
* Organize and maintain files, records, and documents, ensuring confidentiality and accessibility.
* Serve as the primary point of contact for internal and external inquiries, representing the office
professionally.
* Coordinate logistics for meetings, including agendas, materials, set-up, and follow-up.
* Assist in planning and executing college events, including faculty meetings, community
outreach, and special programs.
* Manage event logistics such as venue selection, catering, and technology needs.
* Support special projects and initiatives as assigned, conducting research and compiling data as
necessary.
* Track project timelines and ensure deadlines are met.
* Assist in monitoring the budget for the office, processing invoices, and maintaining financial
records.
* Prepare expense reports and reconcile financial documents.
* Work closely with other administrative staff, faculty, and departments to facilitate smooth
operations.
* Foster a collaborative environment, contributing to team objectives and morale.
* Other duties as assigned.
Knowledge, Skills and Abilities:
Individual must possess the knowledge and the following skills and abilities or be able to perform the
essential functions of the job, with or without reasonable accommodation, using some other
combination of skills and abilities:
* Supervisory and clinical leadership skills and experience
* Public speaking skills
* Familiarity with HIPAA, FERPA, OSHA, and laws/regulations pertaining to the practice of
dentistry in Arkansas
Requirements:
* Bachelor's degree required.
* Minimum of 3 years of administrative support experience, preferably in a college or university
setting.
* Strong organizational skills with an ability to prioritize and manage multiple tasks.
* Excellent verbal and written communication skills.
* Ability to maintain confidentiality and exercise discretion.
* Strong interpersonal skills and a commitment to fostering an inclusive environment.
* Ability to communicate and work well with faculty/staff/students.
* Physical ability to sit for extended periods of time (i.e. computer).
* Physical ability to use the telephone to conduct business.
* Physical ability to stand and to lift moderate weight.
Work Conditions:
* Work is primarily indoors, but requires the incumbent to be in an outdoor environment when
traveling between local campus buildings, off campus, and to other Lyon College facilities.
* Performing duties and attending events outside the normally scheduled work hours
occasionally occurs and is required.
* Traveling off-campus other Lyon campuses or facilities occurs occasionally and is required.
* Incumbent may be exposed to frequent noise caused by telephones, office machines, and
nearby oral communications among college personnel and/or students.
