Job Description:
The Executive Administrator provides high-level administrative support to the CEO of DSS, Inc., a publicly traded company. This role requires exceptional organizational skills, confidentiality, and the ability to manage complex tasks and high-profile interactions with a high degree of professionalism and discretion.Responsibilities:
  • Provide comprehensive administrative support to the CEO, including managing and prioritizing the CEO's calendar, scheduling meetings, and coordinating travel arrangements.
  • Proactively learn and anticipate the needs of the business and CEO to protect and maximize the CEO's time and priorities.
  • Prepare and organize materials for meetings, including drafting agendas, reports, and presentations.
  • Screen and prioritize phone calls, emails, and correspondence, ensuring timely and appropriate responses.
  • Act as the primary point of contact between the CEO and internal/external stakeholders, including board members, investors, clients, and senior management.
  • Draft, proofread, and edit high-level correspondence, reports, and presentations.
  • Manage confidential and sensitive information with discretion and professionalism.
  • Take meeting minutes, track action items, and follow up on deliverables to ensure timely completion.
  • Assist with special projects and strategic initiatives as directed by the CEO, including conducting research, preparing reports, and managing project timelines.
  • Coordinate with various departments and external partners to support project objectives.
  • Support the preparation and filing of regulatory documents and reports required by securities laws and company policies.
  • Assist with compliance-related tasks and ensure accurate record-keeping in accordance with corporate governance standards.
  • Handle all interactions and information with the highest level of confidentiality and professionalism.
  • Ensure that all activities and communications are compliant with company policies and procedures.
  • Develop and maintain relationships with key stakeholders, including investors, board members, and senior executives.
  • Represent the CEO in communications and interactions with external parties as needed.
Qualifications:
  • Bachelor's degree in business administration, Finance, Economics, Communications, or a related field (or equivalent experience).
  • Compliance background and/or 5+ years in project management is highly desirable.
  • Extensive experience as an executive assistant or in a similar role supporting C-level executives, particularly in a publicly traded company.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines effectively.
  • Strong written and verbal communication skills, with proficiency in drafting and editing high-level documents.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software (e.g., project management tools, virtual meeting platforms).
  • Demonstrated ability to handle sensitive information with the utmost confidentiality and professionalism.
  • Strong problem-solving skills and the ability to work independently with minimal supervision.
  • Flexibility to work outside regular business hours as needed.
