Title: Executive AdminReports to: Executive Pastor of Cove Church MinistriesDirect Reports: NoneHours: 30-40 hours/week, non-exemptBenefits: In accordance with Cove Church Ministries Personnel HandbookRole Summary:This person will support the Executive Pastor and leadership team, overseeing day-to-day operations of the church office. The Executive Admin will help ensure that the church's resources are well-managed, fostering an organized, welcoming environment in line with Cove Church's mission to help people discover hope, develop faith, and demonstrate love by following the way of Jesus.Requirements:Doctrinal/Theological:
- Must agree with Cove Church Ministries' doctrinal standards as found in the Faith and Practice.
- Must exemplify and live by Christian principles and foster a Christ-centered environment in the office.
Qualifications:
- Minimum of 3 years of administrative or office management experience, preferably in a church or nonprofit setting.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite and office management software.
- Excellent communication skills, both written and verbal.
- Must manage confidential information with discretion and professionalism.
Education and/or Experience:
- Bachelor's degree in business administration or a related field, or an equivalent combination of education and experience.
Specific Responsibilities:
- Administrative Support
- Manage daily administrative tasks for the Executive Pastor, including scheduling meetings, maintaining calendars, and handling correspondence.
- Prepare reports, presentations, and other necessary documents for staff meetings, events, and leadership discussions.
- Assist in planning and coordinating executive projects, events, retreats, and meetings.
- Office Management
- Oversee the day-to-day operations of the church office, ensuring an efficient, well-maintained, and inviting space for staff, volunteers, and congregants.
- Manage office supplies, equipment, and vendor relationships.
- Oversee and maintain internal databases (such as CCB) for record-keeping, including membership data and financial documents, ensuring accuracy and confidentiality.
- Act as a point of contact for internal and external stakeholders, addressing inquiries and connecting individuals with the appropriate church resources.
- Manage email, mail, and phone communications, ensuring timely and accurate responses.
- Human Resource, Financial and Facility Oversight
- Support the Executive Pastor in financial and human resource tasks such as payroll, onboarding and offboarding staff, and budget tracking and reporting in collaboration with the finance team.
- Coordinate facility rentals and manage the church's event calendar, ensuring all events are properly staffed and equipped.
Supervisory Responsibilities:NoneEvaluation:Regular feedback and bi-annual evaluations concerning areas of success, improvement, and effectiveness will be provided by the Executive Pastor.
