To ensure the ability of these top executives to focus their full attention on meeting customer, regulatory and stakeholder demands while providing effective leadership, AUS also employs highly skilled and experienced Administration Specialists who manage schedules, correspondence, and other logistical concerns for them.Administration Specialists work very closely with their assigned executives and over time develop the ability to anticipate needs, independently resolve issues and occasionally speak on behalf of the executive in certain circumstances, thus extending the executive's capacity and reach. The position requires discretion and a high level of confidentiality as it involves access to sensitive company information.ResponsibilitiesOrganizationWhen requested, attends high-level meetings between CEO and others, keeping concise notes and provides for review of follow-on actions.In concert with the Chief of Staff, prepares read-ahead material, executive summaries, presentations, and biographies in advance of meetings and engagements to ensure the executive is well prepared.In coordination with other EAs within Airbus U.S., creates synchronization of calendars and events, maintaining CEO priorities as the focal point throughout while ensuring executive coverage of events when the CEO cannot attend.Assists the Chief of Staff with ensuring that CEO tasks are captured, prioritized, distributed to Line of Business heads (LoB), and identifies tasks that remain incomplete.Manages detailed schedule and calendar of the assigned executive. Plans, coordinates, and protects assigned executive's schedule; pro-actively resolves conflicts.Keeps assigned executive informed, prepared, and available for upcoming commitments and responsibilities.Organizes and maintains electronic correspondence, records, and other documents; promptly follows up on pending matters.Organizes meeting rooms, catering, and equipment set-up as directed.Manages department materials and supplies, places special orders as needed, and otherwise facilitates smooth operation of department.AdministrationReviews and prioritizes incoming correspondence, distributes in the office as necessary, and coordinates appropriate follow-up action.Under guidance of CEO, Chief of Staff, and Human Resources, establishes sound corporate Administration culture, providing training and guidance to employees in predecessor positions, allowing for occasional adaptation to individual executives as necessary.Assists with development of special correspondence, presentations, speeches, etc., as directed.Schedules appointments, coordinates on and off-site meetings, events, and arranges domestic and international travel with detailed itineraries for assigned executive.Prepares expense reports and timekeeping for assigned executive.Assists with scheduling domestic and international travel plans and expense reporting of other department employees as directed.Performs administrative duties on behalf of the CEO with minimal supervision, including assistance with coordination of non-work engagements and appointments for the CEO.Compiles, organizes, and indexes electronic information obtained from internal and external sources for fast future reference; follows records retention policies and destroys out-of-date materials.RequirementsRelevant Education: Bachelor's degree or comparable experience levelRelevant Experience: 10+ years executive support experience, 3+ years general office administration.
