Job Description:

Executive & Personal Assistant

We are seeking a highly organized and proactive Executive and Personal Assistant for our Greater Boston client to serve as a partner to the C-Suite in managing their professional and personal commitments. The ideal candidate will be adept at multitasking, possess exceptional communication skills, and demonstrate a keen ability to anticipate needs and solve problems efficiently.

**Candidates must be located within a 30-minute radius of the Natick area**

Responsibilities

Personal Support:

  • Assist with personal errands and appointments, including managing household staff and service providers.
  • Coordinate personal travel arrangements, including itineraries and accommodations.
  • Plan and organize personal events, such as family gatherings and special occasions.
  • Maintain personal and family schedules, ensuring all commitments are met.

Executive Support:

  • Manage and prioritize the executive's calendar, scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize documents, presentations, and reports for meetings.
  • Conduct research and compile information for decision-making processes.
  • Act as a liaison between the executive and internal/external stakeholders.
  • Handle confidential information with discretion and professionalism.

Administrative Duties:

  • Screen and respond to phone calls, emails, and other correspondence.
  • Maintain filing systems and organize documents for easy access.
  • Track expenses and assist with budget management.
  • Perform general office duties, including ordering supplies and managing office equipment.

Qualifications:

  • Bachelor's degree or equivalent experience preferred.
  • Minimum 5 years of experience as an executive assistant and personal assistant.
  • Exceptional organizational and time-management skills.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and relevant software.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • High level of discretion and integrity.
