Role: Executive & Personal Assistant
Type: Full Time
Location: Required to be in office in Boulder, CO 4 days a week (Monday, Tuesday, Wednesday, Thursday) with 1 Flex Day (Friday). Occasional after-hours and weekend work may be required.
Start Date: Immediate
Compensation: $70,000 - $85,000 plus benefits (Health, Dental, Vision, 401(k) plan with company match, and Life Insurance)
JOB DESCRIPTION
Caruso Ventures is seeking an Executive & Personal Assistant for its expanding family office team based in Boulder, CO. We are seeking an energetic member with strong organizational and communication skills to support our Managing Director and his family to ensure their professional and personal lives run smoothly. It is more important that the candidate have the right attitude, ability, and desire to learn along with detail-oriented organizational skills, than an aptitude in all the areas identified below.
Caruso Ventures LLC is a growing, entrepreneurial organization operating as a single-family office. We invest across multiple asset classes, including but not limited to venture capital and private equity..

RESPONSIBILITIES
Executive Assistance:
- Manage calendars, appointments, and meetings with precision and attention to detail
- Coordinate travel arrangements, including flights, accommodations, and itineraries
- Manage multiple email inboxes; prepare and edit email correspondence
- Act as a liaison for internal and external communications
- Maintain confidentiality while handling sensitive business and personal matters
Personal Assistance:
- Assist with personal errands and household management tasks
- Schedule and oversee personal appointments, including healthcare, home maintenance, and more
- Organize and manage personal travel arrangements, dinner reservations, and events including professional sporting events
- Handle personal purchases and maintain records of expenses
Administrative Support:
- Provide comprehensive administrative support to the Caruso Ventures team
- Manage organizational tasks, scheduling, and project support
- Greet and welcome guests to the office
- Ensure that all visitors receive excellent service and are directed to the appropriate areas.
Document Management:
- Organize and maintain both electronic and physical files
- Manage database systems and perform data entry tasks
- Ensure all documents are properly filed and easily accessible
Communication:
- Serve as a key point of contact for internal team communications
- Manage phone calls, emails, scheduling, and mail efficiently
Event Coordination:
- Assist with planning and coordinating meetings, conferences, podcasts, and other events
- Handle all logistical details to ensure seamless execution
HR Support:
- Assist with human resources tasks, including onboarding new employees
- Maintain employee records and coordinate training sessions
Supplies Management:
- Assist with keeping the office and residences stocked with necessary supplies
- Ensure that all spaces are well-maintained and organized
Special Projects:
- Participate in and manage special projects as assigned by senior management
JOB QUALIFICATIONS
- Strong organizational and time-management skills
- Ability to work independently in a fast-paced environment
- Excellent written and verbal communication skills
- Proficiency in GSuite (Gmail, Google Drive, Google Slides, etc)
- Experience with Notion and Slack a plus
- Basic understanding of financial principles a plus
- Ability to work independently and handle confidential information with discretion
- Flexibility to handle occasional off-hours tasks.
- Experience managing travel arrangements and/or coordinating events
- Proven experience as an executive or personal assistant, or a similar administrative role, preferred but not required
- High school diploma or equivalent; associate or bachelor's degree in business administration or related field optimal, but not required
