Job Description:
#CA-DSThis position is responsible for executive level management of daily and project activities on behalf of PCS Administration and their Executive Director. This position is not only responsible for all administrative and personnel management for their Executive Director(s), including the coordination and preparation of confidential personnel actions for all of PCS Departments, this position also supports a wide range of strategic and tactical projects. This position manages and facilitates projects, including defining priorities, action steps and researching ideas, creating plans with stakeholders, and makes informed recommendations. This position provides executive support to members of the university's leadership team and is involved in the writing and management of confidential personnel and bargaining information, which significantly contributes to the development of management positions. Coordinates and supports preparation of high-level and confidential personnel actions, including supporting and responding to labor actions pertaining to Teamsters 2010, AFSCME (Service/Patient), CNA, and/or UPTE. This position is responsible for cross-coverage on a regular basis for any of the other executive assistants in the Patient Care Services Administration and can speak on behalf of the Executive Director.Apply By Date 10/24/2024 at 11:59pm Minimum Qualifications For full consideration applicants are encouraged to upload license and certification if required of the position.
  • Bachelor's Degree in related area and/or equivalent experience or training.
  • 3-5 years of experience in administrative roles, or prior experience as an executive assistant.
  • Experience managing travel, handling confidential information, and supporting senior executives.
  • Proven excellent experience in scheduling, coordinating, and managing multiple and complex electronic calendars, meetings, projects, and events.
  • Experience with project/program management including, but not limited to, programmatic development, analysis, implementation and reporting.
  • Proven experience in using strong interpersonal, customer service and communication skills to interact.
  • Experience in writing and editing documents to respond on behalf of the Executive, accurately using proper grammar, style, and format.
  • Ability to work quickly, accurately, and efficiently in a fast-paced environment. Ability to remain flexible when working on projects that require adjusting to individual preferences. Ability to follow through with multiple commitments.
  • Proven ability to handle highly sensitive and confidential issues that require independent judgment and discretion, managing strict confidentiality of sensitive, confidential and/or privileged information, data, and documents.
  • Analytical skills to identify and investigate problems, develop action plans, and follow through to completion.
  • Knowledge of use of personal computer including Windows 7, MS Office 2010 (Word, Excel, PowerPoint, etc.), Adobe Acrobat, and others.
  • Must possess competent decision-making and problem-solving skills, adeptness at initiating actions for effective resolution and follow-through.
  • Skill to reason and discern priorities when determining action.
  • Proven strong political acumen and ability to successfully operate within a diverse, complex organization. Proven ability to apply high ethical standards to operational practices and decision making in order to ensure University policies and procedures are thoroughly communicated to provide context to leadership in the decision-making process.
  • Excellent organization and ability to prioritize assignments; knowledge of priority setting strategies
  • Demonstrated independent accountability for and ability to prioritize multiple projects, adjust priorities to meet changing needs, and complete projects according to time frame.
  • Skill in communicating clearly and effectively with the public and staff, maintaining cooperation and harmony between departments and working as a team member.
  • Excellent attention to detail and organizational skills in all areas of performance.
  • Strong writing skills.
