Executive Assistant and Project Coordinator
We are seeking a highly organized and proactive individual to join our team as a hybrid Executive Assistant and Project Coordinator. This role will support the Des Moines office events, provide administrative support for members of the U.S. Leadership Team and coordinate projects for the U.S. Executive Staff. The ideal candidate will have excellent communication skills, a strong attention to detail, and the ability to manage multiple tasks simultaneously.

Day to Day
Executive Assistant Duties
* Provide administrative support to members of the U.S. Leadership Team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
* Assist with the preparation of reports, presentations, and other documents.
* Handle confidential information with discretion and professionalism.
* Support office events and activities, ensuring smooth execution and coordination.
* Respond to internal and external related inquiries or requests.
* Create and update PowerPoint presentations for a variety of projects, meetings, and events.
* Facilitate meetings effectively, including preparing agendas, taking minutes, tracking action items, and proactively following up on action items and outstanding issues.
* Produce periodic status reports
* Draft and disseminate communications.
* General administrative responsibilities include purchase order and invoice processing, expense report review and completion for executives and their direct reports; performance management data entry, ordering supplies, updating organizational charts, answering and tracking miscellaneous inquiries to completion, and escalating sensitive items.
Project Coordinator Duties
* Coordinate and manage projects for the U.S. Executive Staff as assigned by the U.S. Head of Project Management, ensuring timely completion and adherence to project goals.
* Collaborate with various departments to gather information, track progress, and report on project status.

* Assist in the development and implementation of project plans, including timelines, milestones, and deliverables.
* Identify and resolve any issues or obstacles that may arise during the project lifecycle.
* Supervise current projects and coordinate with all team members to keep deliverables on track.
* Document, maintain, and organize project artifacts including but not limited to: project plans, timelines, risks, charters, business cases, stakeholder summaries, and detailed project analysis.
* Assess stakeholder needs, define project requirements, acceptance criteria, and project timelines.
* Work with stakeholders to analyze business processes and identify areas of improvement.
* Validate that delivered solutions meet business needs, which may involve assisting in the development of test plans and supporting User Acceptance Testing.
* Evaluate potential problems and technical challenges and develop solutions.
* Direct project correspondences by preparing and reviewing project presentations, memos, meeting minutes, and email updates.
* Ensure team's preparedness for meetings by assembling meeting materials, assisting with PowerPoint presentations, and pre-reads.
* Participate in project design meetings and propose improvements if necessary.
Essentials
* Bachelor's degree in Business Administration, Project Management, or a related field.
* Proven experience as an Executive Assistant or Project Coordinator, preferably in a corporate environment.
* Strong organizational and time management skills, with the ability to prioritize tasks effectively.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Ability to work independently and as part of a team, with a proactive and flexible approach.
Preferred Qualifications:
* Experience in event planning and coordination.
* Knowledge of project management methodologies and tools.
* Familiarity with CRM systems and other business software applications.
* Familiarity with Agile Principles (Scrum, SAFe).
* Knowledge of Operational Excellence, Lean, and/or Six Sigma methodologies.

Applicable Pay Range
$62,340.15- $93,510.24
DLL is considering candidates in numerous locations. The pay estimate displayed represents the typical pay range for candidates hired for this position in the desired primary work location. Pay may be adjusted outside the projected range based on geographical differentiation as well as for any other lawful reason. Additional factors that may be used to determine your actual pay include your specific skills, years of relevant experience you possess, and other work-related qualifications. Many candidates may start in the bottom half of the applicable pay range, especially those with less experience or qualification.
This position is subject to the terms of DLL's compensation plans and policies. Further, the position includes all other benefits provided to DLL employees, including healthcare benefits, 401k matching, vacation, sick leave, parental leave, possible discretionary bonuses, and all other benefits that are all governed by and subject to ERISA plan documents and eligibility.
