Position Description

Position Overview:

The Executive Assistant and Scheduler to the County Judge is a role directly supporting the Harris County Judge. Reporting to the Director of Operations and Administration, this position works directly with the Judge, and works closely with theCounty Judge's Office (CJO) Senior Leadership Team including the Chief of Staff, Deputy Chief of Staff, Communications and Policy, to ensure the Judge's direct needs are met efficiently and seamlessly. The Executive Assistant is a key aide to the County Judge, maintaining the schedule, coordinatingwith the Senior Leadership team and occasionally accompanying her to meetings, including public and private events she attends in her capacity as County Judge, during county emergencies, and while traveling on official business.

About the Harris County Judge:

Harris County is the third largest and most diverse county in the nation, with a population of more than 4.7 million, rivaling the size of the entire state of Louisiana. Judge Hidalgo functions as the CEO of Harris County and presides over the Harris County Commissioners Court, the County's governing body. Along with four County Commissioners, the County Judge directs a budget of more than $4 billion providing essential services such as justice administration, flood control, infrastructure, and housing. Judge Hidalgo also serves as Harris County's Director of Emergency Management.

Duties and Responsibilities:

* Directly support the County Judge to ensure her immediate needs are met.

* Work closely with the Senior leadership team to coordinate the County Judge's schedule and assist in travel logistics.

* Manage scheduling to ensure the County Judge's schedule is followed, and meetings and events begin and end on time.

* Monitors and tracks the County Judge's incoming telephone calls, manage messages, and return calls as requested.

* Prepare and review the County Judge's schedule in advance to provide logistical details to the CJO team to prepare for events, press conferences, meetings, travel, and other engagements.

* Assist the County Judge during meetings, events, and travel.

* Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.

* Advance to events and large-scale meetings to keep the County Judge up to date prior to her arrival at meetings and special events.

* Communicate and coordinate with staff who are advancing an event or meeting to keep the County Judge briefed prior to and upon her arrival.

* Maintain a high level of confidentiality on all matters pertaining to the County Judge's Office.

* Exercise good judgment in a variety of situations, with strong written and verbal communication, and administrative and organizational skills.

* Works as a member of the Operations & Administration team.

* Maintain various records and documents for the County Judge.

* Other duties as assigned.

Education and Experience:

* Bachelor's degree from an accredited college or university.

* Three to five (3-5) years of demonstrated experience supporting a high-level elected official or high-profile CEO, Executive, or equivalent in a similar capacity.

* Experience can be substituted for each year of education.

Licensure:

* Must possess a valid driver's license.

General Information

Position Type and Typical Hours of Work:

* Regular Full-time

* Monday - Friday | 8:00 A.M. to 5:00 P.M.

* This position will require meetings across Harris County and work outside of normal business hours as well as some weekend work.

* Further, this position may require irregular hours during emergency situations and a willingness to work in austere conditions during this time.

Salary:

* Depends on Qualifications

* Based on 26 Pay Periods

* Reports To Position: Director of Operations & Administration

Employment may be contingent on passing a drug screen and meeting other standards.
