Role Description

This is a full-time hybrid role for an Executive Assistant/Board Liaison at The Korea Society, located in New York, NY.

The Executive Assistant is responsible for providing high-level administrative support to the President/CEO and the Board of Directors. This role requires excellent organizational, multitasking, and exceptional communication skills, as well as the ability to take the initiative. The Assistant works primarily with the President in all aspects of administration, management, and Board of Directors activities; the Assistant also supports work in other activities of the Society on an as-needed basis.

Responsibilities:

Provide administrative support to the Executive Director and the Chair of the Board

  • Maintain and coordinate the President s schedule, including arranging meetings, appointments, and travel plans.
  • Arrange and manage travel itineraries, accommodations, and logistics for domestic and international trips.
  • Prepare and edit reports, presentations, and other documents for the President/CEO/.
  • Handle T&E expense and reimbursement reports for the President/CEO and the Chair of the Board of Directors.

Serve as the liaison between the President and staff to the board members

  • Act as the primary person of communication between the board and staff, ensuring timely and accurate communication of information.
  • Schedule, organize, and coordinate board meetings, committee meetings, and annual general meetings.
  • Prepare and distribute meeting agendas, minutes, and other necessary materials.
  • Compile and prepare meeting packets, documents, and other related material
  • Update and maintain the board portal.
  • Maintain board contact and committee list in Salesforce databases and internal database.
  • Facilitate clear and effective communication, ensuring that board members receive timely and accurate information.
  • Ensure meetings are conducted according to organizational bylaws and regulatory requirements.
  • Manage board-related documentation, including minutes, resolutions, and correspondence.
  • Ensure secure and confidential handling of sensitive board information
  • Assist the President/CEO with special projects and tasks related to board activities.
  • Assist the board members with logistical support, including travel arrangements, accommodations, and reimbursements. Provide administrative support as needed.
  • Assist in the orientation and training of new board members. Ensure compliance with governance best practices and regulatory requirements.

Oversee the day-to-day operations including, but not limited to:

  • Handle general incoming and outgoing correspondence, including emails, phone calls, and mail of the President/CEO.
  • Manage the reception area to ensure a welcoming and professional environment and provide general support to visitors and guests
  • Assist in planning and coordinating company events and staff meetings
  • Contribute to general office duties such as organizing the common areas
  • Maintain and update office files, records, and databases related to the work of the President/CEO.

Qualifications

  • Bachelor s Degree in Business Administration, Management or a related field
  • 1-3 years of relevant experience
  • Conversational Korean is essential.
  • Must always maintain a high degree of confidentiality
  • Excellent organizational and time management skills to handle multiple tasks, prioritize responsibilities, and meet deadlines
  • Strong verbal and written communication
  • Detail-oriented in managing information, documentation, and communication to ensure accuracy and quality
  • Flexibility to adapt to changing circumstances, priorities, and needs
  • Excellent interpersonal skills and the ability to work effectively with individuals at all levels within an organization
  • Proficiency in office productivity software (Microsoft, Salesforce, Google suite)
  • Some evening and weekend work and travel may be required
  • Must be eligible to work in the US

Compensation:

  • $60K - $70K Depending on Experience
