About the role: We are currently seeking a Financial Administration Coordinator to manage the CFO's calendar, coordinate logistics for meetings, and ensure schedules are accurately updated. The candidate will maintain an organized and accurate list of incoming and pending meeting requests and appropriately prioritize scheduling. Ensure talking points and briefing materials are prepared for the CFO's meetings; arrange premeeting briefings as needed. Serve as the primary point of contact for the CFO, screening and directing incoming emails and correspondence in a professional manner. Requirements A day in the life of the Financial Administration Coordinator will include:
  • Coordinating the CFO's travel arrangements comprehensively, addressing special needs and ensuring thorough documentation and recordkeeping. Providing itineraries, key information, and related requirements such as flight tickets, hotel bookings, visas, and airport transfers. Completing business transaction processing for the CFO, including review and approval of travel expense reports and Mastercard statements. Ensuring that all trips adhere to corporate policies and budget considerations.
  • Updating, proofreading, and coordinating the timely submission of financials in the board meeting and executive meeting minutes. Serving as the liaison between the CFO's Office and the CEO's Office. Coordinating all internal Finance Department meetings, including the monthly Finance Managers meetings. Archiving all meeting minutes according to internal requirements. Assist with other meeting related functions as necessary.
  • Supporting the excellent reputation of the CFO's office with friendly professionalism and respectful interactions internally and externally. Maintaining and cultivating responsive and professional relationships with corporate executives and their respective team members. Acting independently, exercising independent judgement to identify and solve complex problems in support of the CFO and maintaining confidentiality of sensitive information.
  • Providing advice and recommendations on matters relative to the coordination, integration, and synchronization of staff actions, events, and activities of the Finance Department.
Education and Skills:
  • Bachelor's degree required
  • Proven experience as an executive assistant or similar role, supporting C-level executives in a corporate environment. Proficiency in Microsoft Office suite
  • Prior experience in the finance or accounting industry is preferred
