A leading investment firm with a reputation for excellence and innovation seeks a highly detailed and organized Executive Assistant to support their legal/compliance team out of their Midtown Manhattan office.
**Qualified candidates will have 5-10 years of experience as an Administrative Assistant supporting a team in asset management or a top 100 law firm**
Key Responsibilities:
- Administrative Support: Provide high-level administrative support to the legal team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Document Management: Prepare, review, and manage legal documents and correspondence. Ensure all documents are organized and filed correctly, and assist with document retrieval as needed.
- Communication: Act as a liaison between the legal team and internal/external stakeholders. Handle phone calls, emails, and other communications with professionalism and discretion.
- Meeting Coordination: Organize and prepare for meetings, including drafting agendas, preparing materials, and taking minutes. Ensure all necessary follow-up actions are completed.
- Research & Compliance: Assist with legal research and compliance tasks as needed. Stay informed about relevant legal updates and regulatory changes.
- Project Management: Support various projects and initiatives undertaken by the legal team. Track progress and ensure timely completion of tasks and deliverables.
Qualifications:
- Bachelor's degree required
- 5-10 years of administrative experience in an asset manager or top 100 law firm
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and legal document management software.
- Ability to handle sensitive information with discretion.
- High attention to detail and accuracy.
