Provide administrative support to the Office of Academic Affairs in managing day-to-day operations, coordinating initiatives, and ensuring efficient communication. Some support to be provided to the Chief Legal Officer and Office of the President.
Essential Functions:
* Calendar Management
* Coordinate and manage the schedule for the Academic Affairs Office and Chief Legal Officer, including meetings, appointments, and travel arrangements. Serve as back-up for the President's Office.
* Prioritize and schedule meetings based on the Academic Affairs Office priorities and commitments.
* Communications
* Facilitate communication between the Academic Affairs Office and internal/external stakeholders.
* Draft, edit, and proofread official correspondence and reports. Minute taking for Subcommittees of the Board of Trustee meetings, as well as back-up for Board of Trustee meeting minute taking.
* Office Management
* Maintain an organized and efficient office environment.
* Manage incoming calls, emails, and requests for the Academic Affairs Office and Chief Legal Officer.
* Project Coordination
* Assist in coordinating special projects and initiatives led by the Academic Affairs Office and President's Office as needed.
* Track project timelines and deliverables.
* Event Planning
* Coordinate and plan events hosted by the Academic Affairs Office, including Opening of School, student events, awards ceremonies, commencement, development activities, and various annual meetings of organization memberships such as Appalachian College Association, Southern Association of Colleges and Schools Commission on Colleges, etc.
* Information Management
* Maintain confidentiality and handle sensitive information with discretion.
* Manage and organize documents, records, and files.
* Collaboration
* Collaborate with other administrative staff and departments to ensure seamless operations.
* Collaborate with Chief of Staff in planning and preparing for Board of Trustee meeting and events.
* Research Support
* Conduct research and gather information as needed to support the Provost in decision-making.
Minimum Qualifications:
* Proven experience as an executive assistant or in a similar role.
* Excellent organizational and multitasking skills.
* Strong written and verbal communication skills.
* Proficient in office software (Microsoft Office Suite, Google Workspace).
* Ability to handle confidential information with integrity.
* Detail-oriented and able to work independently
* Associates degree in a relevant field.
Preferred Qualifications:
* Bachelor's degree in a relevant field.
* Previous experience in higher education administration.
* Familiarity with academic processes and structures.
