ORGANIZATIONAL SUMMARY:
The University of South Florida Athletics Department is a nationally competitive Division I athletic program and a member of the American Athletic Conference. USF sponsors 21 varsity men's and women's teams that compete in 13 different sports, including the recent additions of women's lacrosse and women's beach volleyball. The Bulls' athletic program began in 1965 and will be in its 59th season in 2024-25. Nearly 500 student-athletes train and compete and nearly 150 employees work in the Tampa General Hospital Athletics District located on the east end of the campus in Tampa, Fla. USF has garnered 16 national championships in varsity sports (the latest in 2022-23 in the NCAA indoor and outdoor high jump) and owns 149 conference titles won in 16 sports in department history, led by 20 each for men's tennis and men's soccer. USF has claimed 80 men's conference championships and 69 women's titles, led by 14 in women's tennis and 12 in volleyball, and owns 32 American Athletic Conference team titles since joining the conference in 2013, including four in 2023-24. USF student-athletes have posted a combined annual grade-point average over 3.0 for a program record of 19 straight semesters as of spring 2024. USF has had over 700 student-athletes earn their degree since 2016-17.
POSITION SUMMARY:
This position exists to oversee all events and communications and support all executive level administrative functions for the office of the Vice President of Athletics. This position provides skilled and confidential support to maximize the effectiveness of the executive by performing a wide variety of support ranging from complex administration coordination, including but not limited to, fulfilling the administrative and scheduling requirements of the executive's office, preparing correspondence, reports and presentations, planning meetings, maintaining agenda and minutes, conducting research, preparing statistical reports and spreadsheets, support administrative and coaching searches, coordinating the executive's travel arrangements, maintaining the executive's calendars and schedules and serving as a liaison for the executive with other University executive offices and external constituencies and partners. The position also provides leadership in developing, implementing and overseeing events and public functions for the executive. Adheres to all NCAA, Conference and institutional rules and regulations.
RESPONSIBILITIES:
Provides high-level, professional administrative support to the Vice President of Athletics to plan, prioritize and schedule meetings and appointments making judgment calls on priorities as necessary
Plan, coordinate and execute all hospitality events on behalf of the VP. Host the VP suite's at home football and men's basketball games.
Arrange and coordinate all VP of Athletics travel and expense reports. Compose and prepare correspondence, memorandums, reports and presentations as needed.
Greet visitors and interact professionally with executives across campus, within the community and within the industry. Facilitate requests from the VP to provide representation and/or assets to requesting entities. Serve as the liaison to the President's Office to coordinate hospitality needs at athletics events.
Oversee and coordinate all maintenance of executive office, including the VP's office and conference room.
Performs other administrative duties as required to support the mission
and function of the executive's area of responsibility.
POSITION QUALIFICATIONS:
MINIMUM:
HS diploma or equivalent, with 2-4 years of related experience
FLSB1310 Equivalency:
4 years of directly relevant experience may be substituted for bachelor's degree.
PREFERRED:
Bachelor's degree preferred. 4-6 years of experience in the athletics industry.
