PURPOSE AND SUMMARY STATEMENT
Under the general direction of GROWMARK Executive Vice President, assumes responsibility for a wide range of executive level administrative duties relating to executive and organizational operations. This position also handles confidential projects and correspondence and provides executive level administrative assistance to the Executive Vice President & CFO as needed.
ESSENTIAL JOB FUNCTIONS
Assists in preparing executive level communications, projects & correspondence including GROWMARK board memorandums and internal or external communications.
Composes a diverse array of memos, speeches, and letters and prepares PowerPoint presentations.
Manages and maintains executive calendars, making appointments, and making changes to appointments.
Assists in monitoring and reporting on departmental budgets.
Coordinates travel arrangements, reservations, meeting agendas and collaborates with Executive Assistants and Flight Operations as needed.
Manages critical appointment and project calendars and communicates key report due dates to those reporting to CEO staff.
Organizes departmental staff meetings and manages agendas.
Coordinates expense account information for payment for the GROWMARK Board of Directors.
Reads and analyzes submissions, letters, agendas, memos and determines significance; routing to appropriate personnel in a timely manner.
Reviews correspondence and, as appropriate, drafts replies or answers directly.
Handles assigned projects by gathering and compiling appropriate information and submitting report summaries.
Acts as liaison between departments to facilitate communication at the executive level.
Maintains confidentiality and exercises discretion consistently.
OTHER JOB FUNCTIONS
Follows GROWMARK's Code of Conduct and Corporate Compliance Program, Environmental Health and Safety, OSHA and DOT policies and procedures, as they apply.
Performs all other duties as assigned.
REQUIREMENTS
Normally requires an associate's degree or equivalent and 5 years related experience to demonstrate management level administrative leadership and decision-making skills serving the needs of multiple members of management staff.
Proven computer skills including SharePoint, Word, Excel, Power Point, and Outlook.
Knowledge of the GROWMARK System is essential for this position.
Understanding and experience in management level administrative-related areas including decision-making, business writing with proven grammar skills, business etiquette, records control, office procedures, and problem solving skills.
Professional communication, interpersonal, and customer service skills and the ability to work with all levels within GROWMARK and subsidiaries, including executive and board of directors.
Planning, organization, and project management skills, the ability to handle multiple tasks with frequent interruptions, prioritize work, and deal with deadlines with proven attention to detail skills.
Proven leadership skills and the ability to get work done through others, work independently, and in a team-oriented environment.
Demonstrates essential abilities including business knowledge, collaboration, communication, customer focus, decision making and skill development.
Must have and maintain a valid driver's license and satisfactory driving record.
Must have the ability to travel independently and overnight.
Ability and willingness to participate in required training that may include education on GROWMARK's policies and procedures and additional training as it relates to the requirements of the position.
