The Executive Assistant I will provide comprehensive administrative support to the Public Safety Department. This role requires a high degree of independence, strong organizational skills, and a commitment to exceptional customer service. The ideal candidate will possess a keen attention to detail and be adept at handling a variety of tasks, including investigative research and customer service inquiries related to parking citation disputes.Furthermore, the Executive Assistant I will perform responsible office support activities, which may include word processing, data entry and organization, processing of invoices, record keeping, report preparation, permit processing, telephone and counter reception, filing and performs related work as required.Class CharacteristicsAssists with department procedures, objectives, and operational functions; receives and assists office visitors and telephone callers; answers questions and provides information where judgment, knowledge and interpretations are utilized, especially in the proper handling of confidential information or files; resolves complaints; refers callers to appropriate sources as necessary.Assists the Executive Assistant III, Public Safety Supervisor and Community Service Officers with a variety of administrative tasks; responds to routine letters and general correspondence; composes and prepares letters, memoranda, and reports and tracking spreadsheets; receives, opens, sorts, and routes incoming mail and packages; routes facsimile documents received to appropriate staff; logs and arranges pick-up of outgoing packages; monitors and orders office and other related supplies.Examples Of Duties
  • Respond to and effectively prioritize phone calls and other requests for service.
  • Interpret and apply administrative and departmental policies and procedures.
  • Compose correspondence and reports independently or from brief instructions.
  • Make accurate arithmetic computations.
  • Perform responsible clerical support work with accuracy, speed, and minimal supervision.
  • Understand the organization and operation of the City and of outside agencies as necessary to assume assigned responsibilities.
  • Organize, maintain, and update office database and records systems.
  • File materials alphabetically, chronologically, and numerically.
  • Enter and retrieve data from a computer with sufficient speed and accuracy to perform assigned work.
  • Organize own work, set priorities, adapt to changing priorities, and meet critical time deadlines.
  • Operate office equipment including computer equipment and software programs.
  • Use English effectively to communicate in person, over the telephone, and in writing.

Education and Experience:Equivalent to a high school diploma supplemented by specialized training and course work in management, business administration, office practices, or a related field and the ability to type at a corrected rate of 50 words per minute are required. Three years of increasingly responsible administrative, secretarial, or administrative assistant experience is required. Municipal Government experience preferred. Must possess a valid Class C California Driver License, and a current typing certificate dated within one year of the final filing date.Licenses and Certifications:
  • Possession of an appropriate, valid driver's license and insurability at regular rates for the City's automobile insurance.
Supplemental Information The current opening is in the Public Safety Department.Each full time employee receives 80 hours of vacation their first year of employment increasing each year by 8 hours to a maximum accrual of 200 hours per year. Sick leave accrues for full-time employees at the rate of twelve days with pay for each calendar year of service. Twelve paid holidays are observed each year by the City of Bellflower.Full time City employees are members of the CalPERS Retirement system. New members pay a portion of their salary towards their 2@62 retirement and Classic members pay 7% of their salary towards their 2@55 retirement. The City of Bellflower pays into Social Security. The City will match full time employee's contribution to a deferred compensation account, up to 4% of salary.The City provides medical insurance through CalPERS, dental coverage through Delta Dental and Vision coverage through EyeMed Vision.01 Do you have a valid California Class C driver license and evidence of insurance?
