Mays Business School is seeking an Executive Assistant to support our Senior Associate Dean. In this position, you will provide comprehensive support, acting as the primary contact with internal and external stakeholders. Discretion and discernment are key attributes along with the ability to manage/coordinate multiple electronic calendars while monitoring timelines for various events, projects and initiatives.
Opportunities to Contribute
* Direct Administrative Support & Communication - Provide comprehensive direct administrative support to the Senior Associate Dean. Serve as the primary point of contact among the Senior Associate Dean and internal/external stakeholders, maintaining clear and professional communication. Provides high-level administrative, action item, and assignment planning, and coordination support. Support the strategic decision-making process by handling confidential information with discretion and professionalism. Manages calendars, schedules appointments, and coordinates meeting logistics. Assist with preparing reports, presentations, and documentation for meetings, ensuring timely submission and accuracy.
* Event/Meeting Coordination - Plans and coordinates logistics for events, meetings, specialized activities, and long-term initiatives. Provide on-site logistical and administrative support for events, meetings, and other special functions. Arranges catering and coordinates travel. Prepares travel arrangements and itineraries and may approve and process travel reimbursements. Coordinates calendars, meetings, and manages schedules.
* General Administrative Support - Oversee office operations, ensuring smooth workflow by coordinating with staff, faculty, and external partners on behalf of the Senior Associate Dean. May serve as an Office Manager. Provides technical guidance and advice on administrative matters. Reviews administrative practices and programs and assists in formulating policies. Assists in compiling reports, maintains records and other documents. Research, compiles, and applies information, making evaluative judgments on appropriate data to use.
Qualifications
Required Education & Experience
* Bachelor's degree or equivalent combination of education and experience.
* Three years of experience in office administration.
Preferred Qualifications
* Experience in higher education.
* Experience with Texas A&M University.
* Demonstrated experience with maintaining multiple electronic calendars.
* Previous experience in an environment requiring confidentiality.
