Job Description:

A family office in Manhattan is seeking an Executive Assistant to provide administrative support to a team of executives and to support the office with billing and financial tasks. Hiring on a temp to perm basis.

Pay: $55-65/hr, $125-140K base.

This role is on-site five days per week.

Responsibilities:

  • Manage multiple calendars, both individual and business schedules, including appointments, reservations, meetings, travel itineraries, etc.
  • Prepare and manage extensive and complex international and domestic travel
  • Create and proof correspondence, reports, and documents as required
  • Prepare and distribute external and internal correspondence including letters and general communication
  • Maintaining accurate records and filing systems, including investment materials
  • Retention of confidential financial documents, bills, and statements
  • Maintain an accurate and timely process for bill paying
  • Prepare and process complex expense reports
  • Coordinate and execute special projects when requested

Requirements:

  • 10+ years of administrative experience, ideally out of a financial services environment
  • Bachelor s Degree required
  • Highly organized and able to prioritize multiple tasks with minimal supervision
  • Exceptional written and verbal communication skills, detail-oriented
  • Proficiency in Microsoft Office (Teams, Word, Outlook, and Excel)
  • Must have experience with Quicken and be able to compile complex expense reports
