A family office in Manhattan is seeking an Executive Assistant to provide administrative support to a team of executives and to support the office with billing and financial tasks. Hiring on a temp to perm basis.
Pay: $55-65/hr, $125-140K base.
This role is on-site five days per week.
Responsibilities:
- Manage multiple calendars, both individual and business schedules, including appointments, reservations, meetings, travel itineraries, etc.
- Prepare and manage extensive and complex international and domestic travel
- Create and proof correspondence, reports, and documents as required
- Prepare and distribute external and internal correspondence including letters and general communication
- Maintaining accurate records and filing systems, including investment materials
- Retention of confidential financial documents, bills, and statements
- Maintain an accurate and timely process for bill paying
- Prepare and process complex expense reports
- Coordinate and execute special projects when requested
Requirements:
- 10+ years of administrative experience, ideally out of a financial services environment
- Bachelor s Degree required
- Highly organized and able to prioritize multiple tasks with minimal supervision
- Exceptional written and verbal communication skills, detail-oriented
- Proficiency in Microsoft Office (Teams, Word, Outlook, and Excel)
- Must have experience with Quicken and be able to compile complex expense reports
