Alchemy have partnered with a contemporary gallery in New York who are looking for a strong Executive Assistant to join the business!
Within this role you will have the opportunity to work with a highly knowledgeable Gallerist within the industry!
The ideal candidate will have previous experience coordinating international and domestic travel, as well as dealing with finance, invoicing and similar administration.
Responsibilities:
- Arrange international and domestic travel (flights, hotels, ground transportation)
- Process monthly expense reports and personal bills
- Manage executive s calendar and schedule meetings
- Handle mail, errands, and file maintenance
- Handle confidential matters discreetly and promptly
- Recognize and interact with clients, press, and key contacts
- Field and direct incoming calls
- Assist with personal tasks and errands
- Be available for urgent communication during off-hours
Requirements:
- Minimum of 3 years of experience as an executive assistant
- Proficient with Apple devices, Outlook, and Office 365
- Excellent written and verbal communication skills
- Organised, proactive, and detail-oriented with strong problem-solving skills
- Resourceful self-starter with creative and strategic thinking
- Strong interpersonal skills
- Skilled in Adobe Suites, ArtLogic and QuickBooks a plus
- Able to multitask, prioritize, and work under pressure both independently and with a team
