Position Summary

This position provides high level executive and administrative support for the Chief Financial Officer & Chief Commercial Officer. The executive assistant is accountable for performing clerical, administrative and general office duties including but not limited to PowerPoint presentations, correspondence, file and record maintenance. Exercises independent judgment and discretion in managing priorities, projects and levels of information access. Works with all levels of the organization as well as outside business relationships and is privy to highly confidential and time-sensitive information. This position operates in a dynamic environment that includes routine day-to-day tasks and unscheduled duties due to changing priorities.

Duties and Responsibilities

Provide executive administrative support to the CFO, CCO and their respective teams as needed.

Executive and administrative support includes:

Prepare, compose and initiate correspondence, memoranda, presentation material, press releases and reports

Organize and prioritize workload to meet deadlines for the executives

Prepare PowerPoint presentations

Answer and screen telephone calls, take messages, provide information or redirect calls as appropriate

Receive and direct visitors

Schedule and maintain calendar appointments, meetings, and travel itineraries

Arrange meetings, conferences and conference calls

Organize and maintain business records, files, documentation, etc. and manage retention in accordance with company policy

Prepare business expense reconciliation and expense reports for executives

Organize and arrange commercial travel and transportation

Maintain confidentiality of all information

Competencies/Skills Required

Minimum 5 years of relevant executive assistance experience in a professional office setting

Ability to multi-task and work under pressure on multiple assignments

Ability to handle confidential matters

Strong writing, proofreading and editing skills with strong attention to detail

Must possess excellent interpersonal and organizational skills

Must be reliable, flexible, responsible and thorough

Expert in Microsoft office suite

Education/Experience Required

Associates degree required

Bachelors degree from an accredited university preferred

Work Schedule

Anticipated hours are:

Monday Friday 8:00 am - 5:00 pm

Occasional overtime required

Occasional travel may be required
