Location: New York, NY 10022

Salary: $130,000 - $150,000

In-Office Schedule: Monday – Friday

Hours: Typical office hours are 8 am to 5 pm. Must be flexible to work longer hours, occasionally 5:30 or 6 pm as needed.

Job Description:

A private investment management firm seeks to hire a highly organized, professional, and detail-oriented Executive Assistant to primarily support the CEO, along with 3 other executives. The perfect candidate would have former C-Suite experience in the financial industry, with the ability and mindset to anticipate the team's needs and run interference, when necessary. Additionally, a 24/7 mentality is necessary with the understanding that the job may sometimes call for assistance outside of regular business hours.

The firm employs a global multi-strategy investment approach, seeking to deliver compelling asymmetric returns by combining complementary liquid strategies managed by experienced investment professionals within a robust risk framework. The firm brings together an accomplished team with hands-on experience running multi-manager businesses to create an institutional investment management firm.

Responsibilities

  • Calendar Management: Coordinate and manage complex calendars by serving as the primary point of contact, fielding incoming flow of information and continuously adjusting schedules and scheduling meetings, appointments and travel, based on business and personal priorities
  • Travel Planning: Arrange all aspects of domestic and international travel and procuring all necessary items before departure (i.e., arranging meetings, securing visas, flights, hotels, cars, venue reservations, creating detailed itineraries and providing support when needed throughout traveler's trip)
  • Expense Processing: Process and track expense reports, reconcile credit card statement and maintain accurate records according to T&E policy best practices
  • Client Communication: Coordinate prospective and existing investor calls and onsite meetings with key personnel across the organization
  • Provide administrative back-up (as needed) to the administrative assistant team
  • Ad-hoc project, as assigned
  • Run errands as needed

Requirements

  • 5-8 years of experience as an Executive Assistant or similar Senior Administrative role within finance is preferred.
  • Completed bachelor's degree
  • Ability to manage multiple priorities
  • Ability to handle sensitive and confidential information with discretion
  • Excellent verbal and written skills
  • Experience with processing expenses through Concur
  • Experience with domestic and international travel
  • Excellent references from both current and previous employers
  • Strong communication skills, both written and verbal
  • Professional mindset and the utmost discretion
  • Ability to work independently and as part of a team
  • Detail-oriented with exceptional organizational skills
  • Flexibility with hours and schedule; especially being able to work in a different time zone if principal is traveling abroad.
  • Valid US work authorization
