CARILLON is recruiting for a hospitality focused EXECUTIVE ASSISTANT to join our team!

The Executive Assistant is responsible for maintaining office supplies, handling office?related functions, serving as secretary to the Executive Director and ensuring an efficient office atmosphere.

ESSENTIAL JOB FUNCTIONS

* Serves as secretary to the Executive Director. Screens persons requesting to see the Executive Director and schedules of appointments as necessary.

* Answers routine mail and returns telephone calls.

* Prepares and types meeting notices, minutes, and statistical information.

* Orders all office supplies, paper supplies, copy machine supplies, printed forms, Carillon and Foundation letterhead, and envelopes.

* Maintains and manages copy machine and submits service orders as needed.

* Performs filing in business files; prepares new business files as needed.

* Updates and maintains resident files: Makes new residents files, remove deceased resident files, file information in resident files, enter move-ins, move-outs, and deaths in binder.

* Updates forecast files: enter new Lifecare resident information, enter any changes to Lifecare residents.

* Compiles and maintains various master lists and systems, resident listings, resident directories, staff home phone numbers, resident away list, etc.

* Compiles and types annual budget assumptions.

* Assists with welcoming visitors, residents, answer questions, handle inquiries and refer to proper departments.

* Assists department heads and the resident council with typing as time permits.

* Attends meetings and take minutes as requested.

* Keeps insurance binder updated with current policies.

* Maintains and updates contract binders with new contracts and removal of expired documents and/or contracts.

* Requests and holds current Certificate of Insurance from contractors.

* Assists with Resident Satisfaction Survey.

* Updates Resident Handbook as needed.

* Assigns parking spaces to residents.

* Approve invoices as needed.

* Assist residents with questions concerning work orders as needed.

* Covers Front Desk at lunch on Thursdays or as needed.

* Attends in-service training and education sessions, as assigned.

* Performs specific work duties and responsibilities as assigned by supervisor.

Knowledge and Ability

* Ability to communicate effectively in English. Able to perform simple mathematics and thorough knowledge and skill in typing and word processing.

* Proficient in the Microsoft Office applications: Word, Excel, Access, Publisher, Powerpoint.

* Two years of general office management experience, some supervisory training helpful, but not required.

* Must be capable to pass skills test in areas of keyboarding and word processing.

* Ability to work under pressure, meet deadlines, be exacting in performance and work well without direct supervision.

* Must display a courteous, friendly and helpful customer-service oriented attitude toward the public.
