Executive Assistant - NYC

Job Overview:

We are partnering with a global client to find a highly qualified Executive Assistant to provide full support to their CEO. This pivotal role ensures the seamless operation of day-to-day activities, serving as a key point of contact between the CEO and various teams and individuals. The ideal candidate will be a proactive, detail-oriented professional with outstanding organizational and communication abilities.

Experience supporting C-suite executives in a large, global organization is essential. The candidate should also be flexible to travel with the executive as needed and comfortable working both remotely and onsite at the New York office.

Key Responsibilities:

  • Calendar Management: Oversee and manage the CEO's schedule, appointments, and travel arrangements. (Global)
  • Meeting Coordination: Arrange and coordinate meetings and events, including board meetings.
  • Administrative Support: Provide confidential administrative support to the CEO and senior leadership team.
  • Special Projects: Handle and/or research special projects as needed.
  • Liaison Role: Act as a point of contact between the CEO and senior management teams.
  • Problem Solving: Anticipate and resolve administrative issues, providing effective solutions to emerging challenges.
  • Deadline Tracking: Monitor and follow up on deadlines for senior leadership team.
  • Preparation: Ensure the CEO is well-prepared for all meetings and has necessary materials.
  • Travel Arrangements: Manage extensive travel arrangements. (Global)

Qualifications:

  • Highly organized, detail-oriented, and self-motivated with a strong ability to prioritize tasks.
  • Excellent written and verbal communication skills.
  • Ability to exercise sound judgment in complex situations and maintain a high level of confidentiality.
  • Previous experience as an Executive Assistant in a large organization.
  • Previous experience working across global time zones.
  • Experience with international companies is a plus.
  • Minimum of 10 years of experience supporting executives as an EA.
  • Previous experience supporting an executive remotely.
