Job Description:

We are seeking a highly organized and proactive Executive Assistant (EA) to support our clients senior leader in managing day-to-day operations, ensuring smooth coordination, and optimizing time management. The EA will handle a wide range of administrative and executive support-related tasks, acting as a key point of contact for internal and external stakeholders. The ideal candidate should exhibit strong organizational, communication, and multitasking skills, with the ability to work independently and handle confidential matters with discretion.

Key Responsibilities:

  • Administrative Support: Manage the executive's calendar, schedule meetings, appointments, and conference calls, ensuring efficient time management.
  • Communication Act as the primary point of contact for all communications, including answering calls, drafting emails, and managing incoming and outgoing correspondence on behalf of the executive.
  • Meeting Coordination: Organize and coordinate meetings, prepare meeting agendas, minutes, presentations, and follow-up on action items.
  • Travel Arrangements: Arrange detailed travel itineraries, including flights, accommodations, transportation, and visa documentation, ensuring all logistics are in order.
  • Project Management: Assist with the planning, coordination, and execution of various projects, monitoring deadlines, and ensuring completion of tasks.
  • Document Management: Prepare, edit, and review documents, presentations, reports, and other materials for the executive.
  • Event Planning: Organize and execute internal and external events, including client meetings, team retreats, and company functions.
  • Expense Management: Track and process expense reports, receipts, and invoices, ensuring timely reconciliation and budget compliance.
