Job Description:

Role: Executive Assistant

Hybrid in Oakland, CA

Salary: $90,000 - $110,000

Key Responsibilities:

1. Executive Support:

Efficiently manage the Executive Director's calendar, scheduling meetings, and prioritizing tasks in a fast-paced environment.

Provide project management support, including utilizing relevant software

Take fast, accurate notes during meetings, capturing verbal instructions and translating them into actionable tasks.

Draft clear and compelling correspondence, reports, and documentation that reflect company mission and goals.

2. Event Management:

Plan, coordinate, and execute events hosted by the Executive Director, ensuring seamless logistics and engaging attendee experiences.

Create visually appealing presentations and event materials using design tools like PowerPoint and Canva, aligned with organizational branding and messaging.

Support day of event management

3. Relationship Management:

Build and maintain strong relationships with clients, funders, and stakeholders on behalf of the Executive Director.

Prepare materials and communications for donor meetings and client interactions, utilizing strong writing skills to foster effective engagement.

4. Administrative Support:

Organize and maintain files, documents, and records related to the Executive Director's activities, ensuring easy access and clarity.

Provide support for processing reimbursements and reconciling expenses, as needed

Handle confidential information with discretion and professionalism.

5. Collaboration and Flexibility:

Working closely with the Executive, continually adapt to dynamic business and policy environment, prioritizing being needs responsive with a positive attitude.

Collaborate with team members to support overall organizational goals.

Qualifications:

Bachelor's degree in Business Administration, Communications, Graphic Design, or a related field.

3+ years of experience supporting busy executives, preferably in corporate, real estate, or growing non profit business

Strong writing and editing skills, with the ability to create compelling narratives and clear documentation.

Expert proficiency in visual design tools such as PowerPoint and Canva, with a keen eye for aesthetics and branding.

Excellent organizational and time management skills, with the ability to prioritize multiple tasks effectively.
