Overview
Kimley-Horn has an exciting opportunity for a seasoned Executive Assistant in our Reston, VA office! We are looking for an initiative-taking, detail-oriented professional to provide a high level of administrative support to a team of senior marketing executives. You will play a vital part in supporting various marketing projects and programs. This is an in-office role. Hybrid and remote schedules are not available.
Responsibilities
* Provide comprehensive administrative support to members of our firmwide Marketing leadership team including the management of their travel, expense, calendars, meeting and call scheduling, document preparation, and outgoing communications
* Partner with Marketing leaders to develop and schedule marketing meetings, trainings, and activities, such as in-person Marketing Manager meetings, and semi-annual Marketing Team Lead meetings Attend meetings, take detailed notes, and prepare initial drafts of minutes and summaries Lend administrative support to special marketing projects and programs including in-house training, new market research, reoccurring marketing meetings, tracking financials for new market sector projects and other various administrative tasks
* Build strong working relationships with other administrative staff and senior leaders
* Occasionally travel (5%-10%) as needed to support meetings and events, typically for 1-2 days at a time
Qualifications
* High school diploma and a minimum of 9 or more years of relevant experience supporting a senior executive team Prior experience in a corporate environment is preferred Excellent written and verbal communication skills and an ability to build working relationships at all levels of the organization Proficiency in Concur and the Microsoft Office Suite, including Word, Excel, PowerPoint, OneNote, and Outlook Strong time-management skills and an ability to organize and coordinate multiple concurrent projects An aptitude for learning new software and systems, and the ability to thrive in a fast-paced work environment Strong attention to detail Ability to work independently and collaboratively as part of a team Problem-solving mindset, with a resourceful can-do attitude Flexible team player, willing to adapt to changes
