Job Description:

We are excited to announce an immediate opening for a highly professional Executive Assistant. The ideal candidate will demonstrate sound judgment in diverse situations, possess exceptional written and verbal communication skills, and have strong administrative and organizational capabilities. This role requires the ability to manage multiple priorities effectively while maintaining a realistic balance.

As an Executive Assistant, you will work independently on projects from inception to completion and handle various activities and confidential matters with discretion, often under pressure.

Key Responsibilities:

  • Perform a wide range of administrative tasks for the President, including managing a busy calendar, preparing expense reports, composing and preparing sometimes confidential correspondence, organizing detailed travel plans and itineraries, and compiling documents for travel-related meetings.
  • Plan, coordinate, and ensure adherence to the President's schedule.
  • Collaborate closely with the President to keep him informed of upcoming commitments and responsibilities, following up as necessary. Act as a barometer by staying attuned to issues in the environment and keeping the President updated.
  • Communicate directly on behalf of the President with clients, vendors, and government agency staff, while monitoring potential activities.
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature, and determine the appropriate course of action.
  • Facilitate smooth communication between the President's office and internal departments, demonstrating leadership to maintain credibility, trust, and support with senior management.
  • Build relationships crucial to the success of ACB and manage various special projects for the President, some of which may have a significant organizational impact.
  • Complete critical deliverables hands-on, including drafting acknowledgement letters, personal correspondence, and other tasks that enable the President to lead effectively.
  • Prioritize competing needs, handle matters proactively and efficiently, and ensure projects are completed successfully, often under deadline pressure.
  • Participate as an adjunct member of the Executive Team by assisting in scheduling and attending meetings, taking notes, and following up on action items with the President.

  • Strong organizational skills with the ability to perform and prioritize multiple tasks seamlessly, demonstrating excellent attention to detail.
  • Outstanding interpersonal skills and the ability to build relationships with clients, vendors, government agency staff, and the ACB Team.
  • Exceptional written and verbal communication skills.
  • A proactive approach to problem-solving with strong decision-making capabilities.
  • Emotional maturity and professionalism.
  • Highly resourceful team player, able to work independently with equal effectiveness.
  • Proven ability to handle confidential information discreetly and adapt to competing demands, providing the highest level of concierge service.
  • Track record of achieving high performance goals and meeting deadlines in a fast-paced environment.
  • A forward-thinking mindset that actively seeks opportunities and proposes solutions.

Education and Experience Requirements:

  • Bachelor's degree in a relevant field or an equivalent combination of education and experience.
  • Preferred two years of experience in the NVOCC Transportation or Freight Forwarding industry.
  • Minimum of five years of experience supporting C-Level Executives, ideally within a freight forwarding or customs house brokerage company.
  • Proficient in Microsoft Office Suite.
