Key Responsibilities:
- Provide high-level administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Prepare and edit correspondence, reports, and presentations.
- Handle confidential and time-sensitive information with discretion.
- Organize and maintain files, records, and documents, ensuring easy retrieval.
- Coordinate logistics for meetings, conferences, and events (both virtual and in-person).
- Serve as a point of contact between executives and internal/external stakeholders.
- Monitor and prioritize emails, calls, and other communications, responding or redirecting as necessary.
- Assist with special projects as needed, ensuring timely and accurate completion.
- Anticipate the needs of the executives and proactively handle any upcoming tasks or challenges.
Requirements:
- Proven experience as an Executive Assistant or similar role, supporting C-level executives.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Ability to work across different time zones, primarily EST and PST.
- Proficiency with office software (e.g., Microsoft Office, Google Suite) and virtual collaboration tools (e.g., Zoom, Slack).
- High level of professionalism, integrity, and confidentiality.
- Ability to manage multiple priorities and adapt to changing needs.
- Flexibility to work outside of standard hours as needed.
