Position Summary
Brown Advisory is currently seeking a professional, energetic and self-motivated Executive Assistant to join the Washington, D.C. Office. This individual will directly support the Chief Operating Officer and other Portfolio Managers and leaders in the Washington office. In addition, this individual will provide general support to the office and other colleagues. Candidates must possess the professional maturity to handle confidential, delicate issues and internal matters.
The primary duties and responsibilities include but are not limited to:
* Provide sophisticated calendar management for the COO and other leaders, proactively troubleshooting conflicts and prioritizing meetings, while ensuring a smooth day-to-day.
* Complete a broad variety of administrative tasks that facilitate the teams ability to effectively lead, including assisting with special projects, collecting and preparing information and documents as needed, note taking, completing and submitting expense reports, booking and managing travel.
* Coordinate executive communications, including taking calls, responding to e-mails and interfacing with internal team members including senior management as well as clients.
* Manage a fast pace environment with complex schedules and business needs across multiple executives and leaders.
* Develop and maintain our Salesforce CRM system with external contact information, inputting activity tracking and effective reporting to better support our office goals.
* Prioritize conflicting needs; handling matters proactively and effectively, and following through on projects to successful completion.
* Prepare meeting rooms, establish conference calls, and prepare technology for presentations.
* Work independently and follow tasks through to completion and meet commitments, proactively seeking guidance as necessary.
* Be organized, thorough and accurate. You will have strong organizational skills allowing you to manage multiple priorities while maintaining exceptional attention to detail.
* Act as gatekeeper to help prioritize outcomes and eliminate distractions.
* Establish effective working relationships with colleagues and external contacts.
* Work closely with events team to ensure onsite support at client events as needed.
* Provide minimal desk and greeting coverage at reception, handling deliveries and greeting clients as needed.
* Uphold a strict level of confidentiality.
Desired Qualifications and Characteristics:
* Minimum of 3-5 years of experience as an Executive Assistant reporting directly to C-Suite executives.
* Financial services experience preferred.
* Advanced Microsoft Office skills, including Word, Excel and PowerPoint, with an ability to become familiar with firm-specific programs and software.
* Strong organizational skills with the ability to manage multiple priorities while maintaining exceptional attention to detail and accuracy.
* Customer service orientation with emphasis on a positive attitude, warm disposition and enthusiasm to take on assignments.
* Proactive about asking questions, offering solutions and enhancing processes and workflows.
* Illustrates tact, discretion, and good judgment in handling sensitive and confidential information.
* Superior written and oral communication skills.
* Ability to work in our Washington office five days a week.
Salary: $75-$90k. Commensurate with experience and location. Does not include bonus or long-term incentive eligibility (if applicable).
