The general function of the position within the organization is to assist in the planning of the administrative function of the Stormwater Management Commission. The position is responsible for performing work of moderate difficulty. The position supports clerical and/or technical personnel and is under moderate supervision.
* Process incoming/outgoing correspondence for urgency and distribute correspondence to appropriate person(s).
* Maintain various lists/databases of contact information, certifications, qualifications, and training.
* Maintain insurances, contracts, agreements, maintenance, service, and renewals.
* Answer correspondence pertaining to the Stormwater Management Commission; compile various reports as requested.
* Serve as Primary FOIA Officer, experience with GovQA desired
* Assist with project intake and filing system, experience with Energov desired.
* Process personnel related forms, timekeeping, and leave request approvals
* May prepare payroll and maintain related records
* Experience with Workday ERP desired
* Assist with preparation of annual work program and budget.
* Coordinate, maintain, analyze and summarize fiscal and statistical data and prepare financial reports.
* Process invoices, check payments, reimbursements, mileage vouchers, procurement cards, and claim forms.
* Obtain quotes from vendors; create purchase orders, order materials and supplies, enter and process bills for payment.
* Assist customers with basic and complex questions over the phone, in person or by mail.
* Coordinate tasks, instruct, and train individuals on new procedures.
* Public meeting assistance, scheduling, agendas and minutes, experience with Legistar desired.
* All other related duties as assigned by the Executive Director.
* High school diploma or GED equivalent.
* Training in general business and administrative office procedures.
* Requires the ability to: read, analyze, and interpret general business periodicals, professional documents, technical procedures, or governmental regulations; write reports and routine business correspondence; effectively present information and respond to questions from managers, clients, customers, and the general public.
* Preferred office experience with records and operation of the office; procedures and equipment; spelling, punctuation and grammar; PC operations and software (Word processing and spreadsheet) are required.
Physical Requirements:
* Requires light to medium work involving standing or walking some of the time, exerting up to 10 pounds of force on a regular basis, and moderate dexterity in operating machinery, tools, or office equipment.
