The Executive Assistant will provide high-level administrative support to the Chief Strategy Officer, located in our Dallas, TX headquarters. The Executive Assistant serves as the Chief Strategy Officer's liaison to a diverse senior management team, including executives across LEARFIELD's Strategy, Technology and Digital divisions. The ideal candidate will be someone who can complete complex tasks and projects swiftly, anticipate business needs, respond promptly to unexpected situations and problem solve. The ideal candidate will also have strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
KEY RESPONSIBILITIES:- Coordinate complex calendars and scheduling needs, balancing competing priorities on behalf of Executive
- Prepare meeting agendas and manage flow of information to executives
- Arrange travel and accommodations for executives. Prepare expense reports in an accurate and timely manner.
- Respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Draft and prepare correspondence for internal announcements, external stakeholders, and organizations that the executive is involved with.
- Manage meetings/guests on site as applicable.
- Use discretion, confidentiality, and good judgment to handle C-Level matters.
- Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
- Act as strategic partner to Executive by researching and analyzing information that support business priorities
- Work on special projects in support of objectives for the organization.
SKILLS AND QUALIFICATIONS:- Bachelor's degree required, or equivalent work experience.
- Minimum 4 years of related experience required in working in an executive assistant role supporting C-Level executives.
- Previous experience working in a dispersed and multi-industry environment (time zones)
- Ability to communicate effectively and professionally.
- Excellent communication and time management skills; proven ability to meet deadlines.
- Ability to function well in a fast paced, high-energy environment.
- Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Flexible hours as dictated by the needs of business for projects and meetings.
